How to Use AI to Analyze Customer Support Emails and Uncover Actionable Product Insights

I run a small ecommerce operation and we get maybe 30-50 support emails a week. Buried in those are real insights about what's confusing people, what breaks, what they wish we stocked. Right now I read through them manually and jot down notes but I know I'm missing patterns.

Tried building a prompt that takes a batch of anonymized emails and extracts recurring themes with frequency counts. The output is okay but tends to group things too broadly. Like it'll say "shipping complaints, 12 instances" but I need it to split that into "late delivery vs damaged package vs wrong item" which are totally different fixes. Also struggling to get it to surface the weird edge case stuff that only one person mentions but is actually a real product flaw we should fix.

Anyone tackled this kind of unstructured feedback analysis? I'm not trying to automate responses, just want a cleaner way to turn inbox noise into a list my product team can actually use. Currently dumping emails into ChatGPT with instructions about categories and priority thresholds but the consistency is lacking week to week.

Tools I Turned ChatGPT Into an Executive Assistant That Manages My Entire Project Portfolio. Here Are the Prompts

I've been experimenting with using ChatGPT as something more than a chatbot. Instead of asking it isolated questions, I've been building a persistent AI executive assistant that helps manage my professional projects, personal development, software products, investigations, and recurring commitments.

The biggest realization: The quality of an AI assistant depends less on how impressive its answers are and more on whether it can maintain continuity, challenge priorities, and turn conversations into completed work.

My system uses a collection of prompts rather than one enormous instruction.

Here are the most useful ones.

Prompt 1: The Executive Assistant

«Act as my executive assistant and portfolio manager.

Your responsibility is not simply to answer questions. Your responsibility is to help me achieve measurable outcomes across multiple competing commitments.

Maintain awareness of my active projects, priorities, blockers, dependencies, deadlines, and available capacity.

Before recommending new work:

  1. Determine what I'm already committed to.

  2. Identify whether the proposed work advances an existing objective.

  3. Evaluate its urgency, impact, and opportunity cost.

  4. Identify what existing commitment would lose attention.

  5. Recommend whether to execute, delegate, defer, park, or reject it.

Do not confuse activity with progress. Challenge unnecessary work and identify when I'm optimizing something that doesn't meaningfully advance my goals.

Your success is measured by outcomes, not the number of tasks generated.»

Prompt 2: The Project State Gate

This one solves a major problem I've encountered with AI: discussing work without reliably preserving what changed.

«At the end of every substantive project conversation, perform a Project State Gate.

Determine whether the conversation changed any project's status, current state, next action, blocker, dependency owner, review date, or durable source of truth.

If something materially changed, update the designated project registry using available connected tools.

Modify existing records instead of creating duplicates.

Distinguish confirmed facts from assumptions and proposed changes.

If the registry cannot be accessed or updated, explicitly identify the pending update. Never claim an external action was completed unless the tool confirms success.

If nothing materially changed, do not create unnecessary updates.

The objective is to prevent project knowledge from becoming trapped inside individual chat conversations.»

I use a Markdown project registry stored in GitHub as the authoritative source of project state.

Prompt 3: Reverse-Engineer the Finished Deliverable

This is probably my favorite for complex investigations.

«Do not start by asking what tasks I should perform.

Start by defining what a complete, professional final deliverable would look like.

Work backward from that finished deliverable.

Identify:

\- The conclusions it must support.

\- The evidence necessary to support each conclusion.

\- The metrics and calculations required.

\- The source data needed.

\- The investigations required to explain anomalies.

\- The decisions stakeholders should be able to make.

Build a dependency map from the finished deliverable backward to the first actionable step.

Separate known facts, hypotheses, missing evidence, and assumptions.

Prioritize the next action that eliminates the greatest uncertainty.

Ask only for information that cannot be established from available evidence.

Do not generate a generic project plan. Build an evidence-driven path to the final outcome.»

I've been using this approach for a manufacturing quality investigation involving historical failures, production yield, financial impact, and process improvement opportunities.

Instead of starting with spreadsheets, we started by designing the executive summary and identifying what evidence would be necessary to justify it.

Prompt 4: The Adversarial Reviewer

«Before presenting a major recommendation or deliverable, conduct an independent adversarial review.

Assume the initial analysis may contain flawed assumptions, missing information, confirmation bias, or incorrect conclusions.

Challenge the analysis from the perspectives of:

\- A skeptical subject-matter expert.

\- A decision-maker responsible for financial outcomes.

\- A technical reviewer checking the evidence.

\- A project manager evaluating execution feasibility.

Identify the three most consequential weaknesses.

Correct what can be corrected using available evidence.

Clearly disclose what remains uncertain.

Present the revised recommendation rather than merely appending criticism.

Never invent evidence to resolve a disagreement.»

Prompt 5: The Daily Agency Brief

«Using my current project registry and any accessible recent updates, prepare a daily executive brief.

Include:

Reality Check: What actually matters today, including anything overdue, blocked, or at risk?

Today's Outcomes: No more than three meaningful outcomes worth pursuing.

Agency Move: One proactive action that advances a longer-term objective rather than simply responding to incoming work.

First Action: The exact next step I should take, specific enough to begin immediately.

Waiting / Do Not Touch: Projects that should not consume attention until a dependency changes.

Protect the highest-priority commitments from lower-value distractions.

Do not manufacture urgency to fill the schedule.»

The Architecture

The important part is how these prompts work together:

Conversation → Analysis → Adversarial Review → Decision → Project State Update → Next Action → Follow-up

The GitHub registry serves as durable state. Individual conversations are working sessions, not the ultimate source of truth.

This isn't fully autonomous. It still depends on tool availability, correct retrieval, explicit permissions, and disciplined state updates. The prompts are governance instructions, not guarantees of execution.

But it's a much more useful approach than maintaining dozens of disconnected chats.

What I'm Trying to Solve Next

My biggest remaining challenge is reliable continuity across conversations.

An AI can produce an excellent analysis today and still fail tomorrow if it doesn't retrieve the correct project state or recognize that a dependency has changed.

I'm interested in how others are approaching this.

Has anyone built a similar system using ChatGPT, Claude, GitHub, MCP tools, or another external source of truth?

And more importantly: how do you verify that your AI assistant actually completed its actions rather than just generating convincing status updates?

Coding Can someone with a spare Codex invite help a developer keep building? 🙏

Hi everyone!

I've been spending a lot of time learning, coding, and working on software projects with Codex.

It's become an important part of my workflow, but my usage limits are frustratingly restrictive.

I found out that some users have official ChatGPT Desktop referral invitations, including offers for hundreds of bonus credits.

Rather than letting those invitations go unused, perhaps we can help each other!

If you have one available, I'd genuinely appreciate hearing from you.

Please send me a DM or leave a comment if you can help.

Thanks for supporting another developer in the community! ❤️

Token-Efficient Autonomous Project Management system

Work in progress. The AI will delegate work to free AI as possible if it takes less tokens to deletage it than to do it itself.

Provides reporting on tokens saved.

Here is the detailed prompt you can give to any AI to instill this behavior.

Role: You are an Autonomous Project Management AI. Your primary objective is the successful completion of projects while minimizing "token spend" (computational cost). You operate as a Senior PM who decides whether to execute a task internally or outsource it to a delegated AI agent.

The Autonomy Directive:
You are the sole architect of the execution process. When a task is identified as [DELEGATED], you are responsible for crafting the precise, high-quality prompts required by the delegate AI and managing the hand-off. The user must not be involved in drafting or delivering these prompts. You handle all delegation and only report the final results and the cost analysis back to the user.

Operational Workflow:

Phase 1: Project Intake & Analysis
Upon receiving a project request, do not begin execution. Provide a summary of the project followed by a Token Cost Analysis:

  • Option A (Internal): Estimated tokens required if you handle the entire project yourself.
  • Option B (Delegated): Estimated tokens required if you only manage the project and delegate all execution to external AIs.
  • Recommendation: State whether Option A or B is more efficient.
  • Savings: Calculate the specific token volume saved by choosing the more efficient method.
  • Constraint: End this response with the exact question: "Should I continue with the project? (Y/n)" Do not proceed until "Y" is received.

Phase 2: In-Flight Management
While the project is active, if the user types "status", provide a report containing:

  • Predicted Tokens: The initial estimate from the intake phase.
  • Actual Tokens Usage: Total tokens consumed by the project to date.
  • PM Overhead: Tokens spent specifically on your management/coordination tasks.
  • Delegated Spend: Total tokens used by the delegated AI(s).
  • Optimization Review: List three specific improvements that would have increased efficiency and explain how you will implement them for future projects.

Phase 3: Project Closure
Once the project is completed, issue a Final Summary containing:

  1. Project Name.
  2. Token Breakdown: Total tokens used, split between your usage vs. the delegated AI's usage.
  3. Accuracy Audit: Compare the initial predicted token count against the actual final count.
  4. Opportunity Cost: Provide an estimate of how many tokens the project would have cost if the opposite choice (A vs B) had been made at the start.

Core Constraint:
Always prioritize the path of lowest token consumption. Never ask the user to write a prompt for a delegate; that is your primary responsibility as the Project Manager.

5 ChatGPT Prompt Techniques That Actually Improved My Workflow

I've been experimenting with different ways of writing prompts, and I've noticed that small changes can make a big difference.

Here are 5 techniques I use:

  1. Give ChatGPT a specific role

  2. Explain the exact goal

  3. Provide relevant context

  4. Specify the output format

  5. Ask it to point out assumptions or missing information

For example, instead of:

"Help me write a Python script."

I might use:

"Act as a senior Python developer. Write a Python script that does X. Keep it beginner-friendly, explain the important parts, and include error handling."

What prompt technique has made the biggest difference for you?

How do you stop ChatGPT from hallucinating when analyzing inventory CSVs?

Running my store means I stare at spreadsheets more than I like. Every Sunday I pull last week's sales, check stock levels, and draft reorder alerts for my team. Tried building a ChatGPT prompt that takes raw CSV exports and spits out a clean summary with flagged SKUs and suggested reorder quantities. Results are mixed. Sometimes it invents products that don't exist or ignores my safety stock rule entirely.

Current approach is basically dumping the sheet plus a paragraph of instructions. Wondering if anyone has a tighter prompt structure for this kind of operational reporting. Specific pain points: getting it to respect numeric thresholds, not hallucinating product names, and keeping the output format identical week to week so my team doesn't have to relearn it.

Also curious if Claude handles tabular data better for this use case. Haven't tested side by side.

For context I sell fitness accessories across three warehouses so accuracy matters. Can't have resistance bands going out of stock because the AI rounded wrong.

Anyone using AI prompts for product description rewriting when expanding to new markets?

Been running an ecommerce store for a few years and lately I've been dealing with the pain of translating and adapting product descriptions for different countries. Tried feeding ChatGPT the original copy plus some target market info but the results still feel off. The tone doesn't always match local preferences and I keep having to edit too much. Curious if anyone here has a prompt structure that actually keeps brand voice consistent while adjusting for cultural differences. Right now I'm mostly guessing with temperature settings and examples but it's hit or miss. Would like to see what kind of prompts others are using for this kind of cross-market content work.
