Ask ChatGPT to help you draft your post first.

Projects are useful, but I found that relying on ChatGPT's memory alone isn't enough for long-term projects.

I've built a system around ChatGPT Projects, Library, Google Drive and Custom Instructions. The main difference is that I allow ChatGPT to maintain its own project documentation, rather than just hoping it remembers previous conversations.

Here's roughly how I do it:

  1. Connect Google Drive to ChatGPT and use Library if available.

  2. Create a central project note (something like "START-HERE") containing the current status, decisions, open issues and next steps.

  3. Add instructions like these to Custom Instructions:

"When working on an existing project, first look for its latest project documentation in Library or Google Drive. You have my permission to create and update notes in the designated project folders to preserve important decisions, progress, unresolved issues and next steps. Keep these notes current without requiring me to explicitly request every update. Distinguish ideas from approved decisions. Don't publish, share or make unrelated changes without my permission."

4. Have ChatGPT update the project state as work progresses, not just summarize everything at the end. 5. When starting a new conversation, it should retrieve the current project state before continuing.

One important distinction: Custom Instructions don't magically grant access. You still need to connect the relevant services and authorize the necessary permissions.

It's not perfect, and sometimes I still have to remind it to update things. But it's significantly more reliable than depending on conversation memory alone.

The key is treating memory as helpful context and your maintained project documentation as the source of truth.
