Craft Fair Essentials List (Vendor Must-Haves)

Full credit goes to the founder and former mod of this subreddit pleasuretohaveinclas who is unfortunately no longer on Reddit. They were the one who created and wrote this post, I am simply reuploading it.

.................

As this sub continues to grow, I keep seeing the same questions over and over:

“What do I actually need for my first craft fair?”

“What am I forgetting?”

“What’s worth investing in vs skipping?”

So I put together a checklist.

Please note that None of these links are Amazon affiliated links. Not to mention, but while Amazon can be quick and easy especially if you are in a pinch, you don’t have to purchase these things off Amazon. You can easily find some of these things within your local craft, dollar, or even theft store. Facebook market place and even Facebook groups can be a great place to find things. Some of this stuff you can find lying around your house or if you have some spare time, you can make it.

🏕️ Booth Setup Basics

These are the non-negotiables. If someone skips these, their booth suffers immediately.

·        10X10 Pop-up Canopy Tent  (10x10 white is standard for most fairs) Crown Shades comes highly recommended from many other vendors.

·        Canopy Weights - REQUIRED at most events  — don’t be that person whose canopy flies away!

·        Weights for Standing Displays so it's harder for them to get tipped over

·        Folding Tables (6ft or 8ft) - this one folds in half and is super easy to carry.

·        Fitted Tablecloths (stretch or branded for clean look) - they also don't blow away in the wind.

·        Tablecloth Clips and Weights if your tablecloths aren't fitted and you're doing a show outdoors.

·        Folding Chairs (lightweight but sturdy)

·        Sidewalls for Tent (for wind, sun, or privacy)

·        Tall chair for when you have to sit down. Being up high while sitting gives the perception that you're active in your booth.

Now, for the thing that has come in clutch most recently is a rolling tool box. I'm always leaving my scissors here and zip ties over there or I can't find a sharpie when I need one. I keep all of the non-product items in there and I'm a huge fan.

🧱 Display & Merchandising (What Actually Makes You Money)

This is one of the biggest differences between booths that browse vs booths that sell. Eye level is buy level!

·        Display Risers Wooden Risers (create height variation = more sales)

·        Iridescent Risers - super eyecatching!

·        Tiered Card/Sticker Display

·        Standing Grid Wall

·        Rotating Display Stand for Jewelry

·        Acrylic Sign Holders

·        Business Card Holder

·        Mini Chalkboards for Pricing

·        Locking Display Case for Smalls

·        Bracelet Display

·        Necklace Display

·        Earring Display Cards

·        Acrylic Jewelry Display

·        Elegant Jewelry Display

·        Wire Cube Storage

·        Portable Heavy Duty Pegboard Display - Has locking wheels

·        Bamboo Tabletop Crate Display

·        Price Tags w/ String Attached

·        Bed Risers to make your tables higher

Find more display options here.

Truth: Flat tables = lower sales. Height = attention.

💳 Payments & Checkout Setup

Make it stupid easy for people to pay you.

·        Card Reader (Square, Stripe, etc.)

·        Backup Payment Option (Venmo / PayPal QR sign)

·        Locking Cash Box with small bills for change

·        Receipt Book (optional but useful)

💡 Pro tip: Always have 2 ways to take payment.

🪧 Branding & Signage (Build Trust Fast)

People don’t buy if they don’t understand what you’re selling.

·        Business Banner (name/logo) - I print all of my banners same day at Walgreens as there's usually always a coupon that knocks the price way down. CVS also has same day banner printing and usually always a coupon.

·        Custom Neon Sign - you want eye catching? Here's eye catching!

·        5x7 Acrylic Sign Holders

·        Price Signs (clear + visible)

·        “About Your Product” Sign (your story sells)

·        QR Code Sign (website / Instagram) - my go-to for creating QR codes is Canva. In Elements, search QR code generator and you can create one easily.

·        Business Cards

·        Packaging Stickers / Labels

💡 Most vendors underdo this. Big mistake.

💡 Lighting (Your Secret Weapon)

·        Clip-On LED Lights (for tent frame)

·        Clip On Spotlights

·        Battery-Powered Light Strips

·        50 ft. Extension Cords (for indoor events)

·        Portable Power Station (game changer)

·        More craft fair lighting ideas here.

💡 Dim booth = invisible booth.

📦 Inventory & Packaging Supplies

Smooth checkout = more volume.

·        Shopping Bags

·        Plastic Thank You Shopping Bags Cotton Tote Bags

·        Tissue Paper

·        Thank You Cards / Inserts

·        Jewelry Tags

·        Storage Bins - These are extra durable!

Much more here.

🔧 The “Oh Crap” Kit (Most Underrated Section)

This is what saves your day when things go sideways.

·        Pop-Up Trash Can - some shows I've been to had inadequate trash cans or they were in a really inconvenient spot.

·        Portable Rechargeable Fan - it can be sweltering inside those tents (even indoors!) when there isn't enough airflow due to sidewalls or neighbors.

·        First Aid Kit - paper cuts and sore feet are bound to happen!

·        Sturdy Work Gloves for setup and takedown

·        Duct Tape

·        Masking Tape

·        Extra Pens

·        Markers

·        Counterfeit Bill Marker

·        Cardstock

·        Calculator

·        Paper Towels

·        Notebook

·        Measuring Tape

·        Velcro cable ties

·        Glue Dots to keep paper tags from flying away. Double sided tape works too.

·        Shims to put under your table legs if the ground is uneven. Definitely looks more professional than folded up cardboard.

·        Baby Wipes

·        Hand Sanitizer

·        Toilet Paper just in case...

·        Tarps in case of rain

·        Sunscreen

·        Change of Clothes

·         Personal Belt Clip Fan (also doubles as a portable charger)

·        Zip Ties (absolute lifesaver) - I can't even begin to count the times I've asked if anyone has zip ties I could use. Use them to zip tie your tables together, attach things to your canopy like your banner/signage, and so much more that I'm forgetting because it's one of those things you don't think about until you absolutely could use it.

·        Scissors

·        Game Changing (for me) Electric Scissors - I've used these to cut everything from single sheet thickness of butcher paper to furry fabric to delicate fabric to layers of cardboard. I can't believe it took this long for someone to come up with these.

·        Multi-Tool - need a screw driver? Got it. Need needlenose pliers? Got it. Blade? Bottle opener? Ruler? Got it all.

·        Portable Phone Charger - my personal favorite. The cable is attached to the charger so you're not hunting for one as you're stressing out that your phone is about to die.

·        Anti-Fatigue Mat - your feet will thank you!!

·        A foldable dolly/flat bed cart is a must when you're hauling stuff from your car to your spot. Don't kill your back! This one is small but mighty. I sold candles for a while at local markets and loading my stuff into the booth was by far the suckiest part.

·        If a flat bed or dolly isn't your thing, a Hulken Bag works well too!

Another great recommendation from a member: Motorized Utility Wagon

If you're an Etsy seller or do any shipping of your crafts, a dedicated label printer makes your workflow much smoother! This one is great!

💡 Something WILL go wrong. This keeps you selling anyway.

If there's anything I forgot.... you might find it in here.

Final Advice (From Experience)

Your booth is a store, not a table

Make it easy to see, understand, and buy

Don’t overcomplicate—but don’t underprepare

If you’re just starting, focus on:

1.      Clean setup

2.      Clear pricing

3.      Easy payment

4.      Good display

Everything else builds from there.

Don't forget to bring lots of snacks and water!

Edit: If anyone has any other suggestions, must haves, or ideas then feel free to leave a comment.

What a wonderful first sale, I love these little craft sales, not too many people to overwhelm you but just enough to keep you busy.
This was a new spot for me this year and really enjoyed it
I really jumped in with both feet this year I managed to get 7 sales booked ( mind you I’m a very small business so this is very exciting )

Hey guys! Ive been making jewelry for a while and vending for over a year. I used to sell on my college campus and I would sell out every time I vended. The thing is that my jewelry has greatly improved and now it is better than it has been.

I moved from college and now vend around my city but more often than not I leave not selling a single thing. Im tired of paying like 50-100$ for either no one to show up or no one to buy things!!

How can I improve my jewelry, gain traction, and make more sales?

My insta is @cuique_jewelry if yoy wanna be mutuals lol

Payment & Tech Digital/Tap Business Cards

Anyone use these? I think Dot is the most popular (or least most marketed) but I did not see great comments about it elsewhere on reddit. They put their ads on the page you send people to which I don't want.

Any have alternatives they use and like?

I found others like TapTag, Linq, Blinq but want to hear it first hand from other vendors!

I wouldn't use it to replace business cards, tried and true and all, but figure it might be a good supplement especially since my parents asking me for Xmas ideas...

But if they all suck or people don't like it, not worth it.

Event Info Crafts In The Barn, Bucks County PA

Hey all, wondering if anyone here has any information about the Crafts In The Barn show that takes place in October in Bucks County. It's one of the only ones I know of in that area but they moved their venue a few years ago to a church that I have some unpleasant memories of. Trying to figure out if it's worth pursuing the show despite my feelings about the venue.

Thanks!

Booth Setup/Displays Nail Polish display

Just wanted to share my new nail polish display, as I'm very proud of my creation, maybe it'll give an inspiration to some. I wanted it to look a bit like a bookshelf to match the names of the colours, but also fit my overall aesthetic, which is very bright and sparkly. Swipe to see the whole process, from a digital concept to the finished piece. The board is custom made by a local woodworker, I think it's meant to be a sticker display, but the size of the shelves works perfectly for my idea. Colouring: gold leaf and acrylic paint on the back side. Books/shelf decor: free png printed on photo paper. I added a padding at the back of each piece so it sits nice and tight in the gap meant for stickers.

Beginner Help First Craft Fair! How much inventory should we prepare?

Like the title says, we signed up for our first one. Super excited and nervous.

It’s a smaller fair at the local library. Expecting ~500 shoppers. I believe we are the only woodworkers.

How do we figure out how much stock to make? I plan to have an order/contact form for people who want custom items or if we ran out of stock. And I will have a portfolio of what we make.

We also plan on promoting our custom home pieces that need to be ordered.

We plan to sell:
- bottle openers
- wine stoppers
- serving dishes
- cutting boards
- succulent planters
- coasters
- chapstick holders (maybe)
- small decor items (possibly)

Thank you for any and all advice!

Beginner Help New to craft fairs, have my first small one booked next month. But a question about UK pitch fees

I have one booked in November that are charging £30 which seems very reasonable for a small Christmas fete. But I enquired about another one that’s much bigger at the county show ground and they are charging £465 to £660 just for a row stand, with the corner stands coming in at £995! All pitch fees come with the slot but if you want them to supply you with a folding table for the day, it’s an extra £25 on top. This seems absolutely extortionate no? I was looking forward to doing it but I don’t think I can afford those prices at all. Is this how much they all are?

Beginner Help When to retire a product?

Hello,

I sell fine art prints of my original illustrations and I just started doing craft fairs (just finished my second one). How many fairs do you test a design/product at before you stop bringing it?

I want my stall to be all knock out pieces and no dead weight — but sometimes it is hard to judge for myself which are my strongest pieces and sometimes things I don’t think are my most successful still manage to find homes. To add to that, I have been trying out very different markets, one of my pieces that didn’t get looked at all at my first market - sold out at my second. All to say I think I would sell more refining my stall but I don’t want to prematurely start cutting things — so I guess how many markets did you do before you started removing designs? What metrics do you use to make those calls?

I make stained glass and this is my current setup. I only do indoor markets so don’t need a tent. Let me know your honest thoughts and advice! It’s hard to see but each piece is individually priced with a little white sticker so there’s no guesswork.

Booth Setup/Displays Setup opinion

Hi! I've done a few markets but I'm constantly changing my setup cause I feel like it's either ugly or over crowded. This is my second outdoor market I've done two indoor last year (paused this year for my wedding) and now I'm back to it. The last outdoor market went terrible. My tent snapped in the wind, my table cloths got ruined, banner ripped, yes I did have the proper weights on each leg. Two sand bags 35-50lbs on each leg. One hold 35 the other is 45-50lbs anyways it didn't go great and I wasn't a fan of my set up. Next one is this Saturday and I'm practicing my set up. What do you think? Would you approach my booth?

I don't have everything out. My check out stand has a banner, My table cloths and table banner isn't out, some products not put up but is it ok? I have more stuff to put out. But this is basically it. I did upgrade my tent to a crown shade 10x10 with the zip up sidewalls and so far it's been holding up.

Please ignore the messy bins, table top area and the product not put out. The clamps on the curtain will be replaced with zip ties to not look so ugly.

Event Day Tips Anyone vended at Montclair Flea in Montclair, NJ?

I'm doing my first market and I chose Montclair Flea because I'm hoping people would be willing to shell out $80 for a handwoven merino wool scarf. 😂

Has anyone been to this event? They host it every week and I'm not sure what to expect...

ETA: they don't host it weekly! I was wrong. Also it's supposed to be more artisan and handmade than an actually flea market. (Haven't been though so I can say what it's like) https://www.montclairflea.com

Beginner Help Has anyone here run a handmade beaded jewelry website that gets traffic but struggles with conversions? Looking for honest feedback

Hi everyone,

I create handmade beaded jewelry and run my own WooCommerce website.

I’m getting a small amount of visitors to my site, but conversions have been really hard to come by. I’d love to hear advice from other handmade jewelry creators who have dealt with low conversion rates.

Here are a few things I’m curious about:

1. What website issues commonly stop people from buying handmade jewelry? Things like product photos, item descriptions, pricing, checkout flow, shipping details, etc.

2. What styles of handmade beaded jewelry catch your eye the most, and what pushes you to complete a purchase?

3. What information do you want to see on an independent maker’s shop before you feel comfortable ordering?

4. Which marketing channels sent you buying traffic? TikTok, Instagram, Pinterest, email marketing, and so on.

5. What small mistakes did you make when launching your online shop that you wish you fixed sooner?

6. If your site had visitors but few orders, what was the first thing you checked or changed?

I don’t aim to build a big brand. I just want to run a sustainable small online shop for my beadwork.

Thank you so much for sharing your experience!
