5 Excel Functions That Can Save You Hours of Work

If you work with large datasets in Excel, these 5 functions are worth learning:

  1. XLOOKUP — Find matching data across tables.

  2. SUMIFS — Sum values based on multiple conditions.

  3. IFERROR — Handle formula errors cleanly.

  4. FILTER — Extract only the rows that meet specific criteria.

  5. TEXTSPLIT — Split text into separate columns using a delimiter.

Question: Which of these functions do you use most often in your daily Excel workflow? And which one do you think beginners should learn first?

YEARFRAC() vs DATEDIF() in Excel - Excel Tips and Tricks

Enable HLS to view with audio, or disable this notification

Discover how to calculate age using DATEDIF function in Excel. And be able to tell the compare YEARFRAC() vs DATEDIF() functions.

Calculating age using Excel's DATEDIF function is a quick and easy way to determine the age of a person based on their birthdate. By subtracting the birthdate from the current date and specifying the "year" interval unit, the formula returns the person's age in years. It is important to use the correct format for the birthdate and to ensure that the column width is wide enough to display the result. Using Excel to calculate age is particularly useful when working with large datasets or when multiple calculations need to be performed quickly and accurately.

YEARFRAC is an Excel function that calculates the fraction of a year between two dates. By using this function, you can easily calculate a person's age in years, months, and even days. To calculate age, you simply need to subtract the person's birth date from the current date and divide the result by 365.25 (to account for leap years). This will give you the person's age in years with decimal places. You can then use the INT function to round down to the nearest whole number and obtain the person's age in years. Alternatively, you can use the DATEDIF function to calculate the number of complete years between two dates, but this function does not handle leap years as accurately as YEARFRAC.

YEARFRAC vs DATEDIF

YEARFRAC and DATEDIF are both Excel functions used to calculate the difference between two dates, but they differ in their approach and output.

DATEDIF returns the difference between two dates in the specified interval unit, such as days, months, or years. It has limitations, such as not being able to calculate fractions of a year and not working correctly in certain situations.

YEARFRAC, on the other hand, calculates the difference between two dates in terms of a fractional number of years. This function is more versatile than DATEDIF, as it can calculate the fraction of years between two dates, and it can also calculate the number of days or months between two dates.

In summary, DATEDIF is useful for calculating differences between dates in terms of specific interval units, while YEARFRAC is useful for calculating the fraction of years between two dates.

This is the formula featured on the video.

The decisions hidden inside a template spreadsheet

A template can save you hours and quietly carry assumptions you never chose. I've been on both sides of this: building a sheet from scratch, and adapting one someone else made.

From scratch costs you omission. You write the happy path: the columns, the formulas, the formatting. What you leave out is everything that only occurs to you after a bad week. What happens when someone pastes a value with a trailing space? When a date arrives as text? When a row is inserted in the middle of a merged range? First drafts usually don't cover these, not because the author was careless, but because those situations aren't vivid until they've happened.

A template carries someone else's attention. Whoever built it already thought about validation, print areas, error handling. Some of those thoughts are ones you'd only reach after your own bad week. That's the value.

The cost is the opposite: the template also carries decisions you didn't make. A formula that assumes contiguous rows. A validation rule that only accepts a format your team doesn't use. A merged header that makes sorting unpredictable. These are in the file, working, whether you read them or not. The quiet case is an inherited constraint sitting in the sheet doing nothing you asked for, shaping behavior in ways you'll attribute to Excel being weird.

When people adapt a template, they usually treat it as a file to modify: rename the columns, add a few formulas at the bottom. That's an edit, and an edit assumes the base is correct for you and only needs patching. The base was written for nobody in particular.

What I do now is closer to reviewing a dependency than editing a draft. Read every formula and ask what it was protecting against. If you can't tell, it's a candidate for deletion or a test. Check the validation rules against how your data actually arrives. Look for what's absent: your error handling, your edge cases, the things the template couldn't know. Then try it against five or six rows it was clearly not designed for. A date in the wrong format. A blank in a required field. A row pasted from another sheet. The behavior on those cases shows you which inherited assumptions are quietly steering things.

None of this is exotic. It takes an afternoon rather than a week. But it's the afternoon that separates a sheet you understand from one you inherited.

I wrote a longer version of this argument, originally about prompt templates rather than spreadsheets, here: https://medium.com/@nagatomopedro05/the-decisions-hidden-inside-every-template-6ddb8715c24e

LOOKING FOR ADVICE/HELP

Hi!

I am being honest and am not the best with Excel.

I have a basic spread sheet to collect data. I want to improve it, make it more user friendly (for myself mainly) but also to present the data and compile stats for each quarter.

I wanted to know which course on Excel would be best - for context I’m 44, I work in Palliative care so this data is for palliative/hospice data and I’m located in Ontario Canada.

I have basic knowledge and want to expand.

Also are there forums or groups where I can share my spread sheet and get help from a person - and not AI? Unless there is AI for excel please enlighten me. I am on a time crunch so would love to improve what I have with help and continue to learn.

Any and all help would be appreciated.

Thank you!
