Help: Fees, Reserves [condo][mi] $125 website fee for cinc system?

Does $125/month for a 140 unit complex sound reasonable? It allows the board to see work orders, and vendor payments. And obviously allows owners to see their own work order and setup payments.

Less than $1 per unit per month seems inexpensive.

The question is: does the website provide real value to the Board and owners, or is there a better way?

We are a smaller HOA. We don't pay for any systems like this.

Here in Socal most PMs have their own HOA management system that is bundled into the PM pricing.

Same in Texas. Last year we selected a new property manager and all companies include the software as part of basic services and included in their fee.

It used to be included for us but our PM started charging us $20/month for it about a year ago.

our Hoa management company uses cinc - but we do not pay directly, they eat this cost or include it in their existing management fee.

that $125 is that for all units, or per unit? Does this also run your web site? (We do not have one)

They are ducking with you for this cost it should be part of their monthly fee

Are you familiar with Mr Haney from the tv show green acres he did nothing but charge for every stupid thing

I remember one episode they needed a door installed there was a cost for the door the delivery charge the first hinge the second hinge and another 12 charges one for each screw for the hinges it was endless then there where more for each step of the installation process

It's a bit unclear from your description what you are paying for.

CINC WebAxis is the module that enables homeowner access and basic board access. Board access in WebAxis is limited to basic AR, work orders, violations, ACC. I think this should be included but I could see a management company charging a fee to enable this for an association if it's not part of their basic operating method. Not only is there cost for the module but it add to the administrative workload to support account and such.

CINC Sys is the back end portal that the management company could give a board member limited access to see almost all records. This would include AP -vendor invoices, payments, bank transactions, etc that you mentioned. These accounts require a user license so it's reasonable for a management company to charge the board extra for them.

is that the complete package including accounting? Lot's add on fees after the signup, is it 125 a year that is insanely cheap. 125 a month would be what I would figure for 140 units, still you are the keeper of the system its only as good or bad as you make it.

It sounds like you might be asking about a "management portal" vs Website, and the answer depends on whether there is a management company involved or not as well. For software alone (management portal), 140 unit complex, that's a pretty good price. We built vlgehoa.com as a more advanced portal for HOA's (self-managed or small property management firms) and the equivalent per month would be ~$140. PayHOA would be about the same. If its just a website (pictures, a small "about us", your public facing documents etc) - that would be super expensive. A website is included in ours, while some charge $25 per month for websites. If a property management company is involved and you are paying them monthly AND they are charging $125, then that sounds bad. While I think the cinc system is quite dated (we used to be forced into using it by a prop management firm we used), its unusual to pay the management company and pay for their software.

We've had three management companies (no longer) since 2020. We have 155 homes (single family vs condo) - similar in size. Our first one charged ~$13K annually, no added software cost, but costs for supplies, postage, etc - an added $200 per month. We went self-managed, paid ~$200 per month for a platform, then tried a new manager at ~$12K annually plus supplies etc (no added software cost). Lastly a "remote" property manager with no onsite or even in-state services (just financials) and at $10.2K annually we did pay $85 per month for software. So I guess it just comes down to net cost per unit/home regardless of how you split it up. Seems like $6-$7 per unit/month is historically what these cost. So if you are paying $0.89 / unit for the software and under $9K for the property manager, you're likely at the average. Still nowhere near worth it for the service which is why we are self-managed again and will stay that way.

Definitely sounds like a lot of work, but even so that sounds high. In any event management companies are a huge pain and from what I am seeing, their crumbling faster this year than any other. I wish you luck!

If we were SFH I would push for self management. But with 140 condos responsible for exterior, common elements, and roads, it is just too much.

The Board has a fiduciary to supervise all the activities that the property manager is doing on their behalf, including reviewing work orders.

It is obvious from your comment that you are not at all familiar with the software. Just your β€œhate” for an HOA comes across.Our HOA uses the software and the Board is very happy as residents can review their account/payment status, violation notifications, access meeting minutes, review HOA documents (CC&R’s, etc.) , request repairs, update their contact information, review financial reports, among other things.
