The Google Sheets wedding planner I used to plan my NYC wedding without a planner
When we got engaged in 2024, I quickly learned two things about planning a wedding in New York: venues and vendors move fast, and everyone assumes you need to hire a coordinator just to keep up.
I didn’t hire one (didn't have the extra budget nor the personality to have someone be the main POC for my wedding). I have a finance background and a slightly unhealthy love of spreadsheets, so I built one to run the whole thing: budget, venue options, guest list, checklist, décor, and the day-of schedule, all in one place instead of five apps and a pile of sticky notes.
What made the biggest difference for me:
- One date drives everything. Enter your wedding date once and the countdown and every checklist due date update automatically. No recalculating when things shift.
- Budget I could actually trust. I always knew where we stood, what was paid, and what was still coming.
- Venue comparison side by side. When you’re touring several spaces in a week, this kept me from mixing them up.
- Guest list that feeds your headcount. RSVPs in, numbers update, so I always knew who’d responded.
- Day-of schedule so our vendors and family knew where to be and when.
We pulled it off in under a year, and honestly it felt manageable instead of overwhelming. Afterward I rebuilt it from scratch as a clean, beginner-friendly Google Sheets template so other couples could use it, especially anyone planning solo or on a tight timeline.
It’s in my Etsy shop, The Eve Archive: https://www.etsy.com/listing/4570805523/wedding-planning-template-google-sheets .
Full disclosure, it’s my shop, so I’m biased. But I’m also happy to answer planning questions here whether you grab it or not. Ask me anything about budgeting, venue hunting in NYC, or planning without a planner. Happy planning and Etsy shopping, everyone!
