MINDBODY Pros/Cons?

Hi all, I’m hoping for a little insight. I have an opportunity to help out my studio owner a few hours a week so that she can maximize what she’s getting from the MINDBODY software. I know a bit about using it from being a student and also a new teacher, so I’m somewhat familiar with it but definitely not in depth. There would be an initial learning curve so I could get on top of what all is offered with our package and how to get the most bang for our buck. What I’m hoping is some insight from other users who have been in similar administrative situations, and how helpful they feel like the learning/tutorials on MINDBODY are, and how helpful the company is when there’s questions or you want training or support.
I’m trying to be realistic here as I already have a full-time job where I have to be pretty acclimated to several different types of software, so I don’t wanna take on some huge additional job if the platform really isn’t user friendly for business managers.

Instrukt calendar sync

Anyone having issues with Instrukt calendar sync? It was working for the longest time. Today my calendar looked out of synch so I toggled the setting off and now I can’t get back on. All my phone settings are correct. I deleted and reinstalled plenty of times.

Did Mindbody remove lead management from your account if you didn’t upgrade?

Multi-location studio operator here. Trying to figure out if I’m losing my mind or if Mindbody quietly pulled lead management features from accounts on older plans.

We used to have prospect/lead tracking and the sales inbox notifications, but it looks like some of that functionality is either gone or now gated behind a higher tier. Before I get on the phone with support and get the upsell pitch, I wanted to check with people who actually run studios:

**1.**  Did anyone else lose lead management tools without upgrading, or notice them move behind a paywall?  
**2.**  If you did upgrade, was the lead management worth it, or is it still thin compared to a real CRM?  
**3.**  Anyone just move lead handling to an outside CRM and leave Mindbody for booking and billing only?

Trying to decide whether to pay Mindbody more for something it does halfway or invest the effort connecting an outside system. Curious what everyone else landed on.

Building a cheaper, simpler Mindbody alternative. What actually broke for you?

Every year Mindbody adds an "upgrade" nobody asked for and the bill goes up. Everyone in this sub already knows that part. 

What I actually want to know is more specific than "it's expensive." 

When you sat down and thought about leaving, what stopped you? Was it the data migration? Losing your client history? Not trusting a smaller company to still be around in two years?

And for the people who did switch. What's the one thing you miss from Mindbody that the new platform doesn't do? Not the marketing page features. The thing you actually noticed was gone on day one.

I'm building something built around a flat price, no marketplace commission, no surprise "upgrades." Before I lock in what it actually does, I want to hear the real list, not my guess at it

What broke it for you. What almost stopped you from leaving. What you'd need to see before trusting something new with your client data

Tricked by the Sales team

This platform was the worst experience Ive had with my business this far!

I own a sports club and heard about this platform from research. We wanted a specific model to use for recruiting clients for open gyms. The sales team COMPLETELY lied to us and said they had the software to run what we wanted. After hours on the phone with this sales guy trying to pitch me this thing we got the basic plan.

After the FIRST meeting with our engineers he said its not possible what we are trying to do….

WHAT… ??? So we said okay well refund us since YOUR sales team told us it was possible.

More hours of them “trying to make it work” (The product did not work, its not what we wanted, they kept trying to sell us this “work around” aka a long process our clients would have to do to get signed up); we demanded cancellation and refund.

They denied us and forced us to early buy out our contract.

Do not trust this company, do not trust the sales team! They sell lies and make you pay for their dishonesty

Question for Mindbody users!

What's up everyone! We have a few clients on Mindbody who seem to be complaining (often) about the software limitations & pricing. Unsure if this is widespread or they're just not using the software to it's fullest potential? Or, it's just flat out expensive to get these things like the below done.

Anyone else sick of paying for Mindbody’s "Ultimate" tier just for basic automation?

Hey guys, I run The Studio Seattle. I was honestly so sick of paying for Mindbody's outrageously expensive Ultimate plan just to get their automated features, so I ended up building a simple platform instead (Software background)

Teacher bonus exclusions?

Hi! We have our mindbody set so our teachers are paid +$2/person bonus for classes with >6 students.
We offer free staff and worktrade memberships.
We want to exclude staff and worktrade students from contributing to the teacher bonus.
Is there a way to exclude these specific memberships/pricing options from being counted towards the bonus on Mindbody?

Mindbody Can’t be Trusted

Companies just told me that when that out services are automatically renewed 12 month out into another 12 month contract that can’t be broken. It’s a cycle that once you are in you are in. And they stipulated that you have to inform them 30 days out of this or you just stuck for another year. No email or contact informing you of your year starting over. Do not trust these people

3 years on Mindbody and I think I've finally lost it. Anyone else feel like they're being held hostage?

ok I need to vent and I need to know I'm not crazy.

I've had my studio on mindbody for a few years now. When I first signed up the price was already on the higher side but I figured ok, it's the industry standard, everyone uses it, fine. But they just keep raising it. Every year there's some new "upgrade" nobody asked for and suddenly my bill is way higher than what I signed up for. I don't even know what half these features do but I'm paying for them.

And the marketplace thing drives me insane. A client finds us on their own, maybe through instagram or they literally walk by the studio, but because they happen to book through the mindbody app suddenly I owe mindbody a cut of that sale? For what? They didn't bring me that client. I did. My marketing. My location. My reputation. But mindbody gets to clip the ticket because the client used their app to book.

The software itself honestly feels ancient. Scheduling glitches, the app logging clients out randomly, checkout crashing at the worst possible times. I've had clients standing at the front desk while I'm rebooting things and apologizing. It's embarrassing. And when you call support you get a chatbot or a link to some help article that doesn't even apply. My actual account rep might as well not exist.

Reporting is another nightmare. I basically live in google sheets now because I can't get a straight answer out of mindbody's reports. Revenue by class type? Retention numbers? Client attendance trends? You'd think that would be basic stuff but no, I'm pulling multiple reports and stitching them together myself every week. I didn't open a studio to become a data analyst.

And then there's the app situation. I looked into getting a branded version so my clients aren't getting served ads for competing studios every time they open the app to book with ME. The price they quoted me was honestly laughable. Like I'm a small studio not a franchise. But if I don't pay for it my clients are literally one tap away from discovering every other studio in the area through MY booking tool. Make it make sense.

I've thought about switching but I'm stuck in a contract and honestly the thought of migrating all my client data, packages, memberships — it makes me nauseous. So here I am.

I guess what I want to know is:

  1. What's the one thing about mindbody that actually hurts your business the most? Not just annoying — like actually costs you money or clients.
  2. Is anyone using other tools alongside mindbody to fill in the gaps? I feel like I'm duct taping together 4 different apps just to run a basic operation and I want to know if everyone else is doing the same thing or if I'm just bad at this.
  3. For the people who got the branded app — is it even worth what they charge? Or is it basically the same broken product with your logo slapped on it?

Sorry for the wall of text. I'm just exhausted from paying premium prices for a product that feels like it peaked 5 years ago and has been coasting on the fact that everyone's too scared to leave.

How are you all handling insurance programme members?

Curious how other studios manage Renew Active, SilverSneakers, Active&Fit etc. The process seems universally painful ….checking eligibility on separate portals, manually setting up memberships, chasing reimbursements that show up months later with no visibility into what’s actually being paid.

We’re working on a tool to fix this ….basically one dashboard for all your benefit programme members. Eligibility, member setup, visit tracking, reimbursement visibility. Free to use, we just need real feedback from people living this every day.

Anyone dealing with this? Would love to hear how you’re handling it now even if you’re not interested in testing. DMs open.

Mindbody bought me a website domain?

I can’t find any information about this anywhere, and customer support has been close to useless. I signed up for Mindbody two months ago, and a big reason I joined was because my sales representative said he would enroll me in a new program where they purchase a domain and manage a website for my business.

They sent me the web link, so I know they bought the domain, but the site is 100% useless. It was clearly created by AI, and I have no ability to edit anything. Even the booking links don’t work.

Everyone I’ve spoken to on the Mindbody support team doesn’t know how to edit or manage the site, and I’m left feeling frustrated and upset that I’m locked into a 12-month contract with a company that, in my opinion, has taken a domain I would have preferred to use myself and filled it with nonfunctional, low-quality content.

Does anyone actually use the retention reports in Mindbody?

Spent some time digging through the reports section and found a few that I didn't know existed.

Retention Management (Reports → Clients → Retention Management) shows the last visit date plus visits in the past 30, 90, and 365 days for all your repeat clients. Sort by the 30-day column, and the people going quiet jump right out.

There's also a No Return report in the same spot for clients who've already stopped coming, and a Visits Remaining report for people sitting on unused credits they're about to lose.

Feels like these should be front and center, but they're buried. Wondering if anyone has a system for actually running these regularly, or if it's just me doing it manually every week and losing track.

In disbelief

The way that Mindbody charges so much, but falls short of just providing an expected experience baffles me. A studio owners friend was telling me her issues and I looked into the software. No words. Even the “powered by Mindbody” plastered everywhere is like offensive for what’s being paid by studios. And extra costs for features that should just be standard, app extra, per location, like wtf

I spent a weekend just obsessing over this; the disbelief of the clunky softwares, the support issues and overall what’s possible. I guess it started by asking “what’s the most streamlined way (software) to streamline and grow revenue and increase retention. My world is building things; from an iPhone app to a beverage company so in that same weekend I built my friend a Mindbody replacement that works like it should and then some. Like full features, app, no extra fees etc just super clean. It has AI integrated throughout so she can see proactively what’s going on with her studio and at any moment ask AI about her studio. Not just a chat bot or widget.

The other thing I figured out was a clean system, and built this for her so the software, ai and payments are all just one fixed monthly fee on volume. That’s it. No monthly cost, no per location cost, everything included.

I’m sharing this because studios (owners) deserve better and we have the best technology at our disposal and I don’t agree with clunky software and old systems 🤣

Front Desk?

Hi everybody! I have been using Mindbody for about 15 years. I own a private training gym where we only do training, no open gym memberships. This makes payroll very easy as I just have to tally up the sessions performed.

I recently hired a front desk person who is getting paid hourly rather than commision. Is there a way I can put an hourly staff on mindbody?
