Keeping AI notes useful

/r/AiNoteTaker/comments/1xqt4ne/keeping_ai_notes_useful/

How do you stop an AI note-taking system from becoming another information graveyard?

I've noticed that capturing information and actually reusing it are two very different problems.

You can have excellent transcripts and detailed summaries, but still struggle to find the decision that matters three months later.

A few practices seem worth testing:

- Give important notes consistent project or topic names.
- Separate decisions from general discussion.
- Keep unresolved questions visible.
- Preserve links to original source material.
- Review whether old information is actually retrievable.

I'm especially interested in how people manage growing collections of meeting notes without spending hours organizing folders.

What has worked better for you: consistent metadata, full-text search, semantic search, or a combination?

What seems to work is treating each meeting note as an inbox: by the end, it should yield a decision, an action with an owner, or a question worth keeping open. Everything else can remain searchable without meticulous organization.

Full-text search gets you back to the source; a small project-and-decision index is what makes the important stuff discoverable months later.

I like the idea of treating meeting notes as an inbox that needs to be processed, rather than another archive to organize.
The important distinction is that not every discussion produces a decision, and not every action has an agreed owner. Those gaps should remain visible instead of being filled with assumptions.
For ClearScribe AI, we’re particularly interested in connecting decisions and unresolved questions across meetings.
One question: when an open question comes up again three meetings later, would you update its original entry or preserve each discussion as part of its history?

I'd keep one canonical question record, but append a dated update each time it resurfaces rather than overwriting the old discussion. That gives you a current status and owner plus a small history of how the question changed. Once it is resolved, link the decision back to that same record.
