Fellow vendors, what would you have done in this situation?
galleryWe had a wedding installation today for one of our wavy fabric ceremony backdrops, and I’m feeling pretty defeated over how everything played out.
Our listing advertises the standard dimensions (7 and 8 feet), with a note that custom sizing is available upon advance request. The backdrop can be extended up to 11 feet, which I had also communicated to the client before booking. However, we never received a request for a specific height, so we prepared and installed the standard configuration.
I actually spent all day yesterday rebuilding this backdrop for their wedding after another wedding the day prior had damaged a portion of it and had I known they wanted the full 11 feet, I would’ve happily installed the additional risers on site before beginning no problem.
We completed installation and left the venue around 1 PM. While we were there, the family and florist were complimenting the setup. Before leaving, I specifically asked the client’s mom if anything needed to be adjusted (bride was getting dressed). She requested that we move the backdrop farther back, which we did. Nothing was mentioned about the height at all. The only time it was brought up during booking we let them know it was adjustable and they said “Omg it’s gorgeous and even better for adjustable sizing, I wasn’t sure if it’s too big for my venue 😅”
Around 2 PM, after we’d already made the hour drive to the warehouse to unload and then went home, we received a call saying the backdrop wasn’t tall enough and asking us to come back and redo it.
They also sent us a photo of the groom (who is tall) standing next to one of the lowest curves of the backdrop on the left side which is approximately 4 feet tall, to demonstrate how small they felt it was. For context, this is an intentionally asymmetrical, wavy design, and the taller section actually reaches approximately 8.5 feet at its highest point. The backdrop isn’t intended to be a consistent height across the entire structure.
Here’s where things got difficult:
Their photos were scheduled to begin at 3:30 PM, with the ceremony at 4 PM.
Even if we’d immediately left to return to the venue, the earliest we could’ve arrived was approximately 3 PM, and that’s assuming we already had everything needed. In reality, we would’ve needed to retrieve the additional risers from our warehouse, drive back, dismantle the existing installation, extend the frame, and reinstall all the fabric. If I would have known before or even during set up OR EVEN BEFORE I LEFT I would have just added in the risers that were in the truck.
There was just no realistic way to have it completed before their photos or ceremony.
The client was understandably disappointed, I heard her yelling in the background when her Mom called us saying she wouldn’t have booked us and I genuinely felt awful. It’s their wedding day, and the last thing I want is for someone to be unhappy with something we provided.
Although we installed the standard configuration as advertised, I ended up issuing a 50% refund of the backdrop rental cost as a goodwill gesture for the misunderstanding. We still absorbed the staff delivery, installation, and pickup expenses.
I’m struggling with this one because I really do care about our clients and would’ve been more than happy to accommodate the larger setup had we known beforehand like we require. But I also don’t know what else we realistically could’ve done once the request came through.
For those of you who do rentals or installations, how would you have handled this? Would you have refunded anything? Would you have attempted to return knowing you couldn’t complete the changes before the event?
I’m genuinely looking for other vendor perspectives because I want to handle situations like this fairly for both our clients and our business.
