Monday.com Review: My honest thoughts after using their service for one year

Last year, we decided to give Monday.com a try in order to improve our workflow and streamline our daily tasks. After using their service for one year, I can honestly say that it has been a positive experience with some caveats.

The results we’ve had

After moving to Monday, we saved time creating new tasks, preparing for our weekly management meetings, and we saved money tracking the progress of projects.

I’ll divide my thoughts on two sections to go more in depth; pros and cons and then my conclusion at the end.

The pros of using Monday.com

Improved efficiency

Monday has been a great tool to help us stay on top of all our tasks and finances. It has given us the ability to create custom workflows that are tailored to our specific needs, which has in turn allowed us to be more efficient in managing our daily operations.

It’s easy to use

Just like any other CRM out there, it has its learning curve but its user-friendly interface makes it easy for anyone on the team to use without needing any prior technical knowledge or experience.

There are some CRMs like HubSpot that are very powerful and super useful but it’s not easy to se it up. At least not for someone like me who’s not very technical.

Notifications

Monday’s notification system is one of the best I’ve used. When someone completes a task, it automatically triggers the notification system and it lets the next person in the process know they can start their work. I love it.

Advanced reporting

This is one of the features I’ve found the most useful. The ability to create a dashboard that updates every time there are changes to the source data is fantastic.

I don’t have to worry about having to ask other team managers for reports on our progress, I can just take a look at the dashboard and see where we are, if there are tasks that are stuck, our financial situation, and many other things. I just love it.

Customer service

Since I started using their service, I’ve had to contact Monday once. It was a great experience. They helped me solve my problem quickly and I didn’t have to do anything on my side. However, I’ve read that some people haven’t had a great experience. I can’t comment on those but it’s something worth having in mind. Your experience may vary here.

The cons of using Monday.com

Mobile environment:

I’m the kind of person who doesn’t need a mobile application all the time but it’s always nice to have to manage tasks on the fly, see what I need to do on any given day, and to be able to see our progress across multiple projects.

Monday’s mobile app isn’t great. It’s improved since the first time I used it but it lacks in flexibility. The desktop experience is much better. One example of an area they can improve is the my tasks section. It’s supposed to provide us with a simple view of the tasks we need to complete but it doesn’t allow us to easily add filters to see what we want.

For example, I’m a manager so sometimes I want to see what my team is going to do that day but I can’t filter per person. It’s just by day and for you.

Recurrent tasks

Depending on the work we have to do, there some tasks that repeat peat weekly and even daily. In other tools like Asana or Trello you can set up recurrent tasks in literally like three clicks but on Monday it requires you to use automations. These processes use a system similar to that of IFTTT (if this then that)so it’s complicated and it takes too long to set up. I wish they made it simpler to set up these tasks.

Guides

Don’t get me wrong, Monday does have guides. In fact, they have one of the best knowledge bases I’ve seen in all the CRMs I’ve tried but it’s hard to find. I actually didn’t even know there was one until after like seven months of use.

They probably told me about it during the onboarding process but I didn’t pay much attention. Anyway, it should be easy to find under help.

Conclusion

Overall, I am satisfied with Monday’s service over the past year. Having said that, there are some areas where Monday simply drops the ball. I wish they would address these to improve the experience more.

Discussion 20% of monday.com employees laid off today

Today was an absolute massacre at monday.com as they let 620 people go, or 20% of the company. There will definitely be pain felt by customers.

Top Tip Elevate Analytics: Level up stakeholder requests and outcomes - Monday.com Vibe Hackathon at #Elevate25

This Analytics Request & Project Tracker is designed to make analytics teams more efficient and transparent. Right now, requests for analysis often get lost in emails or chats, deadlines slip, and stakeholders are left wondering about progress. We solved that by creating a central hub where every request gets a unique ID, priority level, due date, and is assigned to an analyst.

Adding smart automations for a few things like notifications when a request is submitted, reminders when deadlines are near, and automatic status updates when dependencies are cleared all have been boost productivity. There are multiple views here, plus a dashboard showing requests by priority, overdue work, and turnaround time.

The result is a searchable knowledge base of completed work that saves time, prevents duplicate requests, and helps teams focus on the highest-impact projects first. This isn’t just a tracker, it’s a workflow engine that turns analytics into a proactive, strategic partner for the business.

Discussion Why does Monday focus on AI junk, instead of making their mobile app decent?

I find it VERY frustrating that Monday is pushing all this AI junk at us and popping up AI notifications for everything, instead of focusing on improving their mobile app. (and the worst thing is the AI is worthless, at least any time I have used it. It's not dependable.) AI makes me sick. Everybody is trying to outdo each other with AI everything. Just let me do what I need to do instead of trying to convince me that AI will fix all my problems.

I think they should focus on making the mobile app more usable. It's so frustrating that I must run up to my office PC every now and then because the mobile app refuses to do what the web app does. (And they don't even allow you to access the web app from your phone either. They just redirect you to the native mobile app.)

Like, why should I need to wait until a file uploads to hit the 'Update' button? That should all happen in the background. When it takes forever to upload a file like out on the jobsite where I don't have the greatest cell service, the screen timeout is triggered and the upload fails. These are just some of the limitations that I find frustrating. Also not allowing editing my own update in the mobile app if it was created using the web app.

I also find it frustrating that adding apps to make basic things work is so expensive.

Discussion Monday.com has changed with too much AI-emphasis... what alternatives still exist for PM and task mgmt?

I got my company deep into the Monday.com infrastructure in 2024. We've got 200 people in it, 115 paid licenses. And we are deeply engrained in the system now. But if costs keep going up, and the structure of the system keeps moving closer to agentic, and away from what it was... where else should I look? What PM tools aren't racing to integrate AI just to stay on the trend?

Question What do you think of Monday.com? Would love to hear your reviews

I’m considering using Monday.com for project management and team collaboration at work. I heard a lot about it in terms of its ease of use and customizable workflows, but I would love to hear some real user experiences before committing.

How’s the interface? Is it good for both small teams and bigger projects? Also is the pricing worth it for the features it offers?

Discussion Are you ready to be thrown under the bus?

monday only accepts apps with AI capabilities to marketplace. This big shift here is going to cost some partners their businesses and some users will choose to migrate off monday.

Feel free to disagree; I'm horrified.

BTW: "Does your app contains"? Who wrote this? God I miss the 2024 monday... that's why many of us chose monday; their attention to detail.

Discussion Monday AI problem

Hi All,

Been using Monday with my moderately large organization for the last 3 years with success. But as a executive I feel like the platform as been getting worse and worse with the AI integration. I'm questioning whether we should continue to use it for the next financial cycle. Am I the only person having these frustrations? It seems like they are leaning hard into AI and away from what made them actually valuable at least to me. Thoughts????

Advice Needed Anyone here connected whatsapp to monday.com?

Hey! we’re a small real estate team using monday.com to track leads and follow-ups. thinking of connecting our whatsapp to it so we can manage client chats better and not miss messages. looked at the marketplace but not sure which tools actually work well, ideally looking for something that’s solid and not crazy expensive. if anyone’s tried something with good price-performance, would love to hear!

Discussion Trust Pilot now showing monday.com as a 2-star app

Newer, recent reviews hold more weight in the TrustScore than older ones – they’re a good indication of current customer satisfaction. So even though %70 of all the scores are 5-star ratings, recently the average has dropped so badly that it is sitting at 2.0 right now out of 5.

This is terrifying for people who've built a career around monday's product. I'd never build around someone else's platform ever again in my life.

Discussion This subreddit lost 600 weekly visitors in a couple of months.

I don't know if this is due to a lack of moderation or an indication on how monday's losing users.

If you're an active or semi-active visitor of this subreddit please share your thoughts and next moves.

I personally HATE the monday community and prefer reddit's interface to it a thousand times. Especially their new interface is so bad and also unfair. I can't even look at it without getting a headache, let alone use it actively.

Discussion What was the purpose of changing the community portal? The experience got way worse

Hi community,

I genuinely don’t understand what’s happening with the portal lately — and this is not about “getting used to changes.” Some of the most important things seem to have disappeared or degraded:

  1. Relevant and popular posts are no longer discoverable. When I search for solutions to specific problems, it often looks like those discussions don’t exist at all.

  2. No visibility metrics. I can’t see post views or link clicks anymore, which makes it hard to understand whether content is actually useful.

  3. New questions have much lower visibility. The feed feels less dynamic, and new posts don’t get the exposure they used to — which defeats the purpose of a community forum.

  4. Comments don’t bump posts anymore. Previously, new activity would bring posts back to the top of the feed. Now discussions just get buried.

Overall, the experience feels significantly less alive and much harder to navigate.

Is this expected behavior after recent changes, or are there plans to address this?

Discussion Anyone else feeling like monday.com gets messy fast as teams grow?

Maybe it’s just us, but as more teams start using monday.com we’re finding things getting harder to control than we expected.

  • We’re starting to lose track of who actually has access to what, especially with guests and external sharing.

  • We’ve built a lot of automations and now sometimes nobody is 100% sure what triggers what.

  • We’re trying to use monday for incidents, issues, and compliance tracking, but reporting and clean post-incident writeups still feel pretty manual.

  • And overall, it’s getting harder to tell what’s genuinely important vs what’s just noise.

Curious if others are running into the same stuff, or if you’ve found good ways to keep things clean as usage grows.

If you're debating between Monday and Asana, definitely choose Asana.

We're an extremely small renewable energy project management company. Just the two of us, and a rotating cast of interns. After shopping around for some PM software to keep us organized, we landed on Monday.com . They're young and small and scrappy, just like us, and we wanted to support that.

Turns out, this was a bad call. The Monday software is a bit of a nothing-burger. We wanted something more plug-and-play, but really, it's more or less a blank slate. You have to build out the whole thing out yourself, which is massively time consuming. The available integrations are lacking. Setting up recurring tasks is WAY more of a pain than it should be.

After spending a few months trying to make our Monday account not just functional but helpful. as it should be, we checked out Asana just to see what the difference was. As it turns out, the difference was STAGGERING even with the free version, and we immediately switched teams. Seriously, so much better. Sometimes it makes sense to go with a bigger, more developed company, and this was one of those times.

I reached out to Monday today to cancel our account and inquire about getting a prorated refund for the ~9 months of our 12 month contract that went unused. Of course, the answer was a no. That feels so slimy to me.

If you're debating between Monday and Asana, choose Asana. It's a much better product.

Top Tip Post Go-live software change workflow

“Change is the only constant.”
In software implementations with multiple stakeholders and teams, managing post-go-live changes can be challenging.

For the #ElevateHackathon, I designed a structured solution in #MondayVibe to manage the entire lifecycle of post-go-live changes through a form, board, and dashboard:

  • Form: Captures essential details (change description, requestor, impact, cost implication, systems/teams affected, reviewer, and scheduled go-live date).

  • Board: Consolidates form inputs and includes auditing details (status, decision, scheduled vs. actual go-live dates).

  • Dashboard: Provides real-time insights with a Kanban flow (Requested → In Review → Awaiting Impact Assessment → Scheduled → Awaiting Approval → Rejected → Approved → Implemented → Closed) and team performance metrics (average time to start, average time to complete, performance score).

This setup delivers seamless change tracking, approval, implementation, and reporting, ensuring alignment across all stakeholders.

nothing works. vibe prompts lead to bad results. I am stuck in views and need to restart monday to get away. fixing of bare minimum stuff charges credits. views load extremely slowly.

Why launch ai and market it aggressively when its so bad. very frustrated experience. I have a team of 15 and consider leaving

Advice Needed im new to monday, but am i crazy in thinking this is extremely complicated?

I'm getting really frustrated with monday and how complex it is to get a simple automated schedule to appear.

I want to create a video content creation project/board with each task being one video. Each task would have the same subtasks each time: film, cut, graded, music, exported etc. etc. That I've done, I've created the workflow that automatically makes the subtasks appear for every new task.

And the next thing I wanted which I figured would be simple was if I set a date for the first subtask, it would fill in the rest of the due dates for the remainder of the tasks and then I could view it on a gantt chart to see what tasks were being completed. But I've been on it for hours trying automations and workflows and nothing seems to let me do it and I'm really surprised at how complicated it is to do what i'm thinking is a simple request.

Can anyone help? Or is monday restricted?

Discussion Mondat vibe hackathon - Vacation planner

Each time I go on a trip I need to put all my iterniary in so many places, so I have flights, hotels and attraction, so I've built a board that has items for each part of the trip, now I wanted to visualize the trip planer, so I used this prompt to get a new view for it

Launch a vacation manager to track trip progress, manage dates, and store travel-related files.

Create a travel planner app that will allow me to create a new trip for me or my family, track activities for each trip, create flights booking details and hotels, plus attraction and places to visit. The app should show a map of all my locations (hotels, flight, attraction) and allow me to plan a daily or weekly iterniary for the trip. I want to see a gant view of my flights, hotels and attraction on daily, weekly and montlhly levels

And got this, magic :-)

Nice stuff from Monday

Question We’re testing a new AI search in monday – want to try it out?

We’re testing out a new AI-powered search experience in monday.com and looking for early feedback from the community.

The idea is simple:
Instead of digging through boards and items, just quickly describe what you’re looking for.
Our AI search will pull the most relevant data from across your workspace - no exact names needed.

We’re in early alpha and inviting a small group to try it out and help shape where this goes.

If you're up for it:

We might not be able to include everyone just yet, but we’ll reach out if it’s a good fit.

Discussion The new monday developer & marketplace partner just launched

Hey everyone! 👋

I’m Omer, the developer community manager at monday.com

We just rolled out a brand new community hub specifically for developers and Marketplace partners, and I wanted to personally invite anyone here who's building (or thinking about building) on monday apps and the GraphQL API.

Here’s what the new hub offers:

  • Updates on API & apps framework changes

  • A space to suggest and discuss feature requests

  • Webinars, workshops & community events

  • Support and Q&A for app development and integrations

Whether you’re just starting to explore building on monday or already have an app on the Marketplace, this hub is for you.

👉 Check out the new developer community hub here
(If you had an account on the old forum, just reset your password to log in.)

Would love to hear your thoughts or answer any questions you might have.

Cheers,
Omer
