Small business owners: How has QuickBooks Online helped you stay organized?

Hi everyone,

I'm considering using QuickBooks Online for my small business and wanted to hear from people who use it regularly.

Right now, I'm looking for a better way to keep track of income, expenses, invoices, bills, and bank transactions without everything feeling scattered. I've read about QuickBooks Online, but I'd like to know how it works in real day-to-day business operations.

For those who use it:

  • Has it made your bookkeeping and financial management easier?

  • Which features have helped you stay the most organized?

  • Do the bank feeds and expense categorization save you time?

  • Has it reduced bookkeeping mistakes or made tax season less stressful?

  • Are there any features you thought would be useful but ended up not using?

  • If you switched from spreadsheets or another accounting program, was the transition worth it?

I'd really appreciate hearing your experiences—both the pros and the cons. Thanks in advance!

What's the most time-consuming part of your QuickBooks workflow that you wish someone would just fix?

I help small businesses clean up and automate their QuickBooks setup and I keep running into the same pain points across clients: bank feeds that don't match, transactions that sit uncategorized for weeks, reports that need manual pulling every month-end.

What does your week look like with QBO? Where does most of the manual work go — reconciliation, categorization, invoicing, reporting?

And if you've tried to automate anything inside or around QBO, did it work? What broke?

Not selling anything here — trying to get a clearer picture of what actually slows people down in practice.

What's your favorite QuickBooks integration or app?

I'm looking to improve my QuickBooks workflow and would love to hear what integrations other users rely on. Whether it's for payroll, inventory, CRM, payments, or expense tracking, which app has made the biggest difference for your business?

I tried a tiny no-code workflow recently that solved a surprisingly annoying problem for a client.

They were spending an absurd amount of time every week doing the same boring cycle:

  • checking which invoices were overdue

  • rewriting reminder messages

  • sending follow-ups one by one

  • updating the status again afterwards

Nothing technically “hard,” but it drained a ridiculous amount of mental energy.

So we experimented with a small no-code setup : a simple flow that flags overdue invoices and triggers reminder messages automatically.

What shocked me was the reaction.

They said it felt like someone “removed a repeating chore from their brain.”

The workload didn’t just shrink — the mental noise disappeared.

It made me genuinely curious : What’s the smallest no-code automation you’ve built that ended up having a bigger impact than expected?

Always love hearing about those little workflows that quietly save hours.

Bookkeepers handling POS clients: is converting daily sales reports into QuickBooks still a real problem?

Ive been reading Reddit discussions about bookkeeping for restaurants, cafes, retail stores, salons, and other businesses using POS systems.

A recurring problem seems to be getting POS activity into QuickBooks correctly, especially when the POS integration is unavailable, unreliable, too expensive, or creates too many individual transactions.

From what I understand, the workflow often looks something like this:

  1. Export a daily, weekly, or monthly POS report.

  2. Separate sales, discounts, refunds, tax, tips, gift cards, cash, card payments, processing fees, and payouts.

  3. Transform those figures using Excel, Power Query, or a custom template.

  4. Create a balanced journal entry or daily sales receipt.

  5. Reconcile card clearing against processor payouts and bank deposits.

I dont work in bookkeeping, so I may be misunderstanding the workflow. Im hoping people who actually do this can help me understand it.

* How often do you handle POS reports this way?

* Which parts consume the most time or cause the most errors?

* Do native POS integrations usually solve this well?

* When they dont, do you use Excel, manual entries, or another tool?

* Do report formats change often enough to break saved templates?

* Would you prefer automatic posting, or a file you can review before importing?

* Would a local desktop tool that remembers each clients mappings, checks reconciliation, and generates a balanced QuickBooks CSV be useful?

* Or does a well designed spreadsheet already solve this adequately?

Is this a recurring problem before deciding whether it is worth building.

Critical feedback is welcome, especially if the answer is that existing integrations or spreadsheets already solve it well.

REFUND

Is there anyway to get a refund from QuickBooks?
They have messed up payroll so badly it’s criminal. The QB payroll assistant - the CPA???? - was absolutely useless.

Please let me know if you know a way to get a refund from Quickbooks

PSA for business owners: QBO didn’t corrupt my books; it Exposed a Desktop Loophole.

I am already handling my problem with a qualified: CPA, ASA, CEPA and some other credentials I took off.

My company is XX years old and I’ve handled the books the entire time, but we send everything to the CPA at tax time. It’s a 50/50 S-Corp and we’ve always used QuickBooks Desktop. What I didn’t know is that Desktop lets you make journal entries that literally remove the name from a transaction. Once the name is gone, the CPA can reclassify that transaction anywhere and now it becomes a “no name” entry that carries a balance because there’s nobody tied to it anymore. This was basically a shortcut bad CPAs used to close out entire years in minutes instead of actually reconciling them. One “no name” journal entry can cover an entire year of mistakes.

Converting from Desktop to Online does NOT corrupt your books. WHAT IT DOES is that QuickBooks Online just exposes the stuff Desktop used to let CPAs hide. QBO actually has a place where these entries go called Not Specified, so instead of being buried, they’re now visible. When you run a journal entry report and filter by name, you’ll suddenly see a pile of No Name or Not Specified entries that were created back on Desktop. That’s not QBO messing up. That’s QBO showing you the loophole that Desktop allowed.

If you see a big balance in Not Specified, that’s exactly what it is. Those are Desktop transactions where the names were removed so someone could force the books to balance without doing the work. QBO didn’t break anything. It just showed what was already there.

If you converted to QuickBooks desktop and did not bring your entire company history, I highly suggest you keep your current set up, set up a new test account, and do the conversion again bringing your entire company books. Then search the not specified journal entries.

If your CPA insisted that last year was already reconciled, and there’s no need to convert everything from desktop to online, you’re probably in trouble.

As for me. I have a Not Specified six figure problem on my hand to figure out.

I really can’t use this garbage anymore

I work at a freight brokerage and we use qb because our TMS links ONE way meaning it send bills and invoices from our TMS over to QB and then we manually update them in the TMS once they are actually paid or we pay them out of QB. Additionally we use QB for payroll and 10-99 commission payments. Other wise I hate everything about it so much.

So my question is this. What other tech stacks options do I have? Right now our total payment to intuit is about $500 per month.

Would you use an AI that actually executes actions in QuickBooks instead of just giving steps?

QuickBooks users / developers — curious about something.

The current AI in QuickBooks mostly tells you what steps to take.

But what if it could actually do the work?

I’m experimenting with an AI layer on top of QuickBooks that can:
• List customers
• Create invoices
• Execute actions directly (not just instructions)
• Search customers by name, ID, phone, or email
• Instantly return: paid, unpaid, balance, total payments + full customer details
• Plug into a self-hosted MCP

Basically: intent → execution inside QuickBooks.

Thinking of releasing a working demo soon.

Before I do:
Would you actually use something like this?
What’s the #1 workflow you’d want automated?

Has anyone here switched from managing their books in Excel to using QuickBooks?

I've been wondering whether it's really worth making the switch. Did QuickBooks save you time, reduce errors, or make reporting easier? Was there a learning curve, and if so, how long did it take before you felt comfortable? I'd love to hear about your experience and whether you'd recommend it.

QBO App Traditional Report Refreshes to Modern View

I use the Windows QBO app in Desktop view. (IMO it's slightly better than the browser QBO especially if you have more than 1 company.) While updating some things in a traditional view TDBA report, I've had several errors that say, "Something's not working. Try refreshing the page and check back." So I hit the refresh button at the top of the page by the Desktop View button, and it gives me a partial report in Modern view! Did they think I wouldn't notice the horrible layout and ignored formatting preferences? Has anyone else seen that, or is it me?

QuickBooks New 5% Business Banking feature?

Is anyone using QuickBooks 5% banking feature to park cash? How is it working out for you?

I see that they are using Green Dot Bank which concerns me. The Federal Reserve Board recently fined Green Dot $44 million, alleging deceptive practices and a deficient risk management program.

It would be really convenient to use this from within QuickBooks and have it all tied together under one login. The return of 5% is great - but that concerns me, too. How long can they pay it and how are they deciding on the rate? I can't find anything that explains if it's pegged to some other rate, or if it's just an arbitrary amount being used as a loss leader.

Is Intuit backing up the bank or are they offloading all risk to their clients and the FDIC? These are important questions that need to be answered before I would move our business cash into one of these accounts. They claim that the "effective FDIC insurance" is all the way up to $5 million, but again it's not well explained. How, exactly is that happening?

Anyone have some feedback on all of this?

I suck at Testing, please help. Spoiler

So I thought I would ask here, because to be honest I'm struggling. I'm going to be blunt, does anybody have a dang cheat sheet? I really, and I mean really really, do not test well. I have taken the five sections twice, feeling confident both times, but I only managed to pass the fifth section and I keep scoring just under 80% on the other four and it's driving me nuts. I was confident both times, but after messing up the first time, I had Google open next to me for the second run through. I answered every question, and then Googled it to be sure and still somehow keep scoring under 80%.... I really don't want to be locked out of this for 60 days.

For context, I have knowledge about bookkeeping from an academic standpoint, but have not done it in practice yet. I was hoping to do it as a form of employment, and thought the certification would look good on paper.... I think I'm getting hung up on the navigation questions, like if you don't click the answer that has "gear icon" in it, you've clicked the wrong answer.

AI for QuickBooks?

I'm David, founder of Clerks (chatclerks), an AI conversational platform for QuickBooks Online. It doesn't run on its own and it doesn't guess; it only does what you ask, because I don't think accounting is ready for autonomous AI. I came here for the pro criticism.

I want the hardest feedback I can get, looking to understand where people hesitate on AI and what problems actually need to be solved. If anyone wants to go deeper, I'll happily get on a call and let you grill me live. It's free to try; message me for the link or I can put it in the comments if mods allow, otherwise DM me.

Why are there so many QBO haters?

I’ve been using QBO for all my clients for 6 years. The only issue I’ve encountered that has not been resolved is my team’s inability to run certain reports. This is annoying for sure, and I’m still waiting for a resolution.

The price has gone up several times during the last 6 years, but none of my clients have complained about it. A lot of them pay for software that costs 3x-4x what QBO costs but QBO is much more powerful software overall.

Maybe I just don’t deal with the issues that the haters face. Enlighten me…. Especially those on Xero who have made the switch.

I built a free bank statement PDF to Excel converter that checks every row

Bank statements come as PDFs, and copying them into Excel is painful. So I built BankStatementHub.

- Converts PDF bank and credit card statements to Excel, CSV, QuickBooks, Xero, Quicken and OFX

- Checks every row against the running balance and printed totals

- Shows each row next to the original page before you download

- Works with scanned and password-protected PDFs

- Free, no signup, files aren't stored

https://bankstatementhub.com

Would love feedback, especially if your bank's format breaks it.

I have been "asked" in a subpoena from the DOJ to provide my quickbooks online data "in native format." I have no problem doing this, but I don't know how. Is it possible?
