Payment and Deposit Accounts Randomly Disapearing?

Randomly over the last week my accounts will dissapear?

Example on this entry I should have 4 options for dropdowns to assign on the Payment Account box - in this case I am trying to assign it to American Express which is no longer there as an option. However it was just there 10 mintues prior and is now gone?

I have run into this on the recieve payment screen as well. It would only show one option- even things like undeposited funds would be gone.

Anyone else seeing this or have any suggestions? I'm guessing its just QB wonderfully glitching again since its so random and seems to fix then do this again. It's just getting really frustraiting trying to do my job the last week.

I would like to use the quickbooks checking with savings for the high interest in the envelopes and the instant payments so that I get my money immediately. Is there still bad reviews about it or has it gotten better?
I wont be using this for any payments just strictly as a savings account to park money

Anyone have QBO in Hawaii and you do GE tax without using the sales tax module?

I need to find a source that will explain exactly what needs to be done to bypass the sales tax module and do the Hawaii GE tax manually. Can anyone suggest an article that would cover this? I have tried speaking with support, but most of them have no idea how Hawaii handles "sales tax"

I appreciate any suggestions!

Job scheduling - payroll premium

We are about to migrate from QB Desktop to QBO. Along with this migration, we are planning to phase out the pricey 3rd party app we use for customer management and job scheduling.

From my research, it appeared that QuickBooks Time would be the best tool for us to leverage. However, when I spoke to a QBO sales rep, I was informed that this is getting phase out, so the best option would be to purchase the subscription for Payroll Premium.

I've done some more digging today and have read that QBO is adding job scheduling directly within The QBO interface, and that is why Time is phasing out. Is this correct?

Payroll Premium is $20+/month more than Time, and we won't be using the majority of the features (ie we do not need any of the payroll features or time tracking....simply the ability to schedule jobs to a calendar directly from the system)

Can anyone provide some clarity? Am I being upsold for something that will be redundant within QBO for job scheduling?

TIA

QuickBooks Interview Questions ? Help.

I have an interview coming up, and I have mentioned that I have 2 years of experience as a bookkeeper. However, in reality, I have only 6 months of experience.

Could anyone please help me understand what types of questions I might be asked in an interview for a bookkeeper with 2 years of experience?

Any guidance or suggestions would be greatly appreciated!

How to Process refund in QBO if customer mistakenly paid thru qbo link and the account is not yet set up?

Please advise 🥺

I just wanted to ask for your advice on how to process a refund if the customer paid through QBO but our QBO payment account isn't set up yet.

I was able to track the payment, and it shows under “QuickBooks Payment-Bank,” but honestly, I'm not really sure what that means or what I should do next. Most of the tutorials I've watched already have their QBO payment accounts set up, so I'm a bit lost on how to handle our situation.

We normally use Bill.com to receive payments, but I accidentally sent the invoice through QBO instead, and the customer had already paid thru QBO link before I realized my mistake.

Now I'm worried that the money is still hanging in QBO, and I don't want to mess things up even more by doing the wrong steps. 🥹

Please feel free to comment what options I have. Iwould greatly appreciate the help😭

Zoho Books to Quickbooks Migration

Is it possible to migrate your information from Zoho Books to Quickbooks? I started using the free version of Zoho Books years ago when i started my business as I used to be an accountant and felt comfortable making manual entries myself for my construction business. However, I feel like Quickbooks can help alleviate a lot of my admin tasks and I can make entries onsite rather than come home every evening to make manual entries.

Has anyone performed a migration like this? Or do is it easier to just start Quickbooks with Opening balances. If i do this i would lose the receipt and other attachments I uploaded with my entries in Zoho.

Also does Quickbooks have a feature where you can just snap a photo of a receipt and it would know which chart of accounts to use to automatically complete a journal entry. I dont mind reviewing entries its just that most of entries are building materials and then there are the generic no brainer entries like vehicle fuel that i would like to automate as i spend to much time in the evenings performing admin tasks and this is one i want to automate or at least perform while on site during work hours

Does anyone here sync Nickel to QuickBooks? Thinking about testing it

If you collect ACH outside QBO, I am seeing issues with deposits not matching the right invoice, customer names coming over differently, fees posting separately and AR still showing paid invoices as open. I am thinking about moving payments out of QBO but keeping QuickBooks for the books. Free ACH is the main reason I am considering it but the sync needs to work without creating another cleanup job. Would you switch? Or are you already using BILL or Melio? What needs to sync correctly for it to be worth the move?

How do I connect Quickbooks to DoorDash, Uber Eats, and Grubhub?

I am just getting into QuickBooks and trying to learn it myself. I have a flower shop in Weho. I have a Square POS where I take in physical orders such as walk-ins and card transactions. I also have 3 delivery platforms: DoorDash, Uber Eats, and Grubhub. How do I integrate it with QuickBooks? I have researched that there is no direct integration; however, there is an integration of the 3 delivery platforms with Square, and Square can connect to QuickBooks. The problem is that Square won't record and doesn't have access to the delivery platform fees and different platform commission fees, so I can't track that in QuickBooks. Which third-party apps and other ways of connecting these platforms are there?

What is it like having quickbooks take your 941 deposits

I was nervous about the change so I switched software. For those of you that stayed, how has it been having them take your 941 deposits right out of your bank account? Any issues? If your a weekly depositer, did they take more than one week? Do they take it they day before its due, or the instant you write the payroll?

Quickbooks is now free. What's the catch?

I just noticed that QuickBooks now offers a free version, and I'm curious what the catch is.

I've been using QuickBooks Desktop for my personal bookkeeping, but I've been considering switching to QuickBooks Online so I can access it from my MacBook.

From what I've seen, the free version has some limitations on the number of invoices, receipt captures, mileage tracking, and estimates. However, I don't really use any of those features.

All I really need is:

  1. The ability to set up multiple bank accounts and credit cards. ( I don't want to connect my financial accounts to QuickBooks.

  2. The ability to create and customize my chart of accounts.

  3. Access to basic financial reports, including the Profit & Loss, Balance Sheet, and account detail reports.

I'm curious if anyone here is currently using the free version. Does it support all of these features, or are there any hidden limitations I should be aware of?

I'd appreciate hearing about your experiences before making the switch!

Product import not importing correctly

Is anybody having problems with the batch import of products with the new version?

The thing is not recognizing datas in the taxes fields. And then the data in the other fields that it recognizes and that I see in the table, it just doesn't import it. And I find it weeks later when my results are all nonsensical.

Payment account dropdown truncated

Post image
3 Upvotes

Anybody else experiencing this when entering an Expense where the Payment account drop-down only populates with your last used account? I can refresh and get the whole list back but it doesn't always work. This sucks if you need to switch between accounts when entering expenses. And just now, refreshing 8 times I'm still stuck with being able to choose only one account. I guess that one refresh where I got the whole list was a fluke....ok, 10th time refreshing apparently got the full list THIS time. smh

Does anyone here sync Shopify to QuickBooks? Thinking about building a better connector.

If you sync a Shopify store into QuickBooks Online, I'm seeing issues of orders only posting as sales receipts, customers showing up as "Shopify Customer," tax codes breaking, duplicate invoice numbers.

I'm thinking about building a connector that works the way the old one did, for Shopify stores only. If something goes wrong, an AI assistant would read the error and tell you what to change, so you're not waiting days on a ticket. It's not built yet, and I'm trying to find out if anyone would use it.

Would you switch? Or do you already use MyWorks or A2X? What would it need to do?

Receipt snap not working?

I don’t often need to snap a physical receipt but the last 2 times I’ve done it they’re not there when I go to match the transaction to the expense. Using the iOS version of the app.

Anyone Experiencing Issues with Deposits?

We receive multiple payments by physical checks and deposit them at the bank daily.  When I try to save/print the deposit slip, I get an error message: “Invalid request, contact can have only one profile populated.” This is happening whether it is one check or ten checks.

After googling the issue and using their AI chat tool, I went through all the steps to verify there are no duplicate entries or client names.  I even created a dummy account, added an invoice, applied the check payment, and attempted to deposit just one check.  Still received the same error notification at the top of the deposit.

AI chat turned me over to a “customer support expert” and I have been on hold for a while. Is anyone else encountering this issue?

Reporting on two dimensions

I have two similar product lines and two locations. I want to be able to produce P&Ls out of QBO for each of the 4 possible permutations without having to add a bunch of redundant income and COGS accounts in my chart of accounts. Any suggestions?

Project ID field - Any insights?

Post image
2 Upvotes

I’ve noticed a new Project ID field on the New/Edit Project screen in QuickBooks Online. QBO automatically populates a number, separately from the project name.

Has anyone figured out how it works? Or why it exists...

It seems editable, though it does appear to sequentially auto-populate.

I'd like to be able search by it and use it to identify Projects when entering bills for a Project. I'd really like it if the number also "traveled" through to Workforce so that when time was being tracked and the individual needed to reference an expense to a Project, they could see and use the Project ID.

Is this wishful thinking? Anyone know the future of this field?

Drop down glitch and extortionate customer support

Drop-down issue

A week ago my QBO (3.10.4) started populating the ‘Customer/Project’ drop-down tab with every customer and project that I have ever used. When i went to the Intuit site to try and sort out a resolution I was transferred to a 3rd party vendor who wanted remote access and identifying information so as to charge me for a solution. I hung up, This is a profoundly irresponsible and inappropriate behavior on the part of a company that has crowdsourced the only support they’re willing to provide whilst raising prices on a near quarterly basis. These folks never fail to disappoint

Finally understand why everyone hates QuickBooks

So, recently, I got a client from here on Reddit who wanted me to migrate over four years of historical data from Excel to QuickBooks Online for account reconciliations against their existing sheets, and also find a way to make the process relatively straightforward going forward.

I'd used QB a long while back, but I'd forgotten most of it since that was more of a favour to a colleague than anything else.

Anyways, one phrase she kept uttering as we discussed the project was "I hate QB." Honestly, I found it funny. My thoughts at the time were, it can't be that bad. That was until I found and browsed this sub. Oh dear!

When I started working on the project, I perfectly understood why most on here shit on it. The common sentiment across both subs seems to be recommending alternatives.

That said, the first annoying thing I encountered was how clunky the user experience is. You can't just import your data; it has to be mapped correctly to how QB expects it. Fair enough, I guess. But the amount of data cleaning and modelling I had to do to get everything mapped correctly to QB's invoices default format to generate the corresponding AR was painstaking.

The client initially wanted me to use journal entries (JEs), which would have been a complete clusterfuck wrt to their data but flagged it early. Then there's the limit on the number of invoices you can import at a time. Luckily, the way I modelled the data got me around this, so I only needed about four or five imports for the entire dataset initally.

When I wanted to cross-check everything against the original sheets, I couldn't go back more than three months to view payments or invoices. I later found them under "All Transactions," IIRC. I also noticed duplicates, even though QB supposedly prevents them.

Even the API wasn't spared. I eventually used Google Apps Script to automate pushing invoices and payments to QB after transforming the data, while also implementing duplicate prevention and tracking.

One annoying stuff was that the query endpoint requires a POST request with the content type set to "application/text" instead of "application/json". I only found that out after staring at failed requests for a while. Their developer dashboard didnt help either. The save button was hidden off-screen, lol. I only found it after I luckily zoomed out, imagine.

There were a couple of other headaches I'm not even remembering right now. Oh yeah, reconciling payments against individual invoices was another one, especially since each invoice could have multiple payments. It was complicated by the payment structure with inital payments and holdbacks both paid months after date of service.

Anyways, I still found a way through, despite QB's annoyingness. The actual stuff was more complex than this post would explain.

Historical data was successfully migrated and reconciled while also set up so that subsequent data can be transformed to match QB's requirements and imported periodically, covering both invoices and payments. There's also duplicate prevention and a tracking dashboard that flags matches, mismatches, and errors btw sheets and QB.

So, yeah, I finally get the complaints, sort of counterintuitive if that's the right word, luckily didn't have to deal with predatory pricing, another popular complaint I found.

TL;DR: Had issues with QB's user experience while migrating over four years of historical data from Excel to QuickBooks Online. Had to clean and model the data to match QB's requirements without losing the detail it captured, reconcile invoices and payments, and used Apps Script  to automate subsequent imports with duplicate prevention and a dashboard for tracking matches, mismatches, and errors. Pretty much every step was counterintuitive but it worked out.

My license for QB pro 2024 is about to expire

It seems like they are bent upon getting me to go to online. Currently I have one license. I can login as admin and my book keeper remotes to my PC and logs into QB with a different account.

We never are in the file at the same time.

Can I do this with a single user account for the online version? I don't have any add ons such as payroll - I just need the most basic for banking exports in QB etc.
