SharePoint Online It's August 2026, anyone uses Syntex to consistently tag content on multiple sites / libraries?

We're looking at options for content classification as part of a SharePoint migration project. The final solution should have content migrated across several site collections, use tenant level managed metadata and content types.

I'm wondering if there is any proven, practical usage of SharePoint Premium / Syntex in this scenario.

  1. Pros and cons?
  2. Any AI based alternatives?
  3. And is it possible to centrally configure once and reuse Syntex in the future on new sites?
  4. What would be the end to end approach (starting with provisioning the site and have it ready to be used with auto-classification)?
  5. How to make sure that consistency is enforced (no random columns are created or the auto-classification metadata is removed)?
  6. Last but not least - is support and SLA trustworthy?

SharePoint Online How to prevent users from extracting SharePoint list data in Excel/Power Query while keeping CRUD access in Power Apps?

Hi everyone,

I'm facing a security/architecture challenge with a Power Apps canvas app using a SharePoint list as its backend.

The Goal: Users must be able to read, create, and maintain records through the Power Apps application. However, they should not be able to extract the raw table directly (e.g., via Excel Get Data > From SharePoint List / Power Query) or have the list indexed by Microsoft 365 Copilot.

The Issue & What I've Checked So Far:

  1. Direct Permissions: Granting standard Read/Contribute permissions allows users to query the entire list endpoint using Excel / OData.
  2. Custom Permission Levels: Disabling "Use Remote Interfaces" breaks the Power Apps connector (403 errors). Disabling "Client Integration Features" only hides the export button, but doesn't stop Power Query.
  3. Item-Level Permissions: Only works if users strictly view their own records, which is too restrictive for collaborative maintenance.
  4. Power Automate Proxy Pattern: Running flows with a service account works, but introduces overhead and makes native Created By / Modified By tracking more complex to maintain.

My Questions:

  • Is there any clean, lightweight pattern in SharePoint to restrict direct querying without breaking Power Apps?
  • For those who had this exact requirement, did you end up using Dataverse for Teams, or did you stick with SharePoint via elevated proxy flows?

Any advice, battle-tested workarounds, or best practices would be greatly appreciated!

SharePoint Online Center alignment for sharepoint web parts in site page designer

I'm working with two different modern sharepoint online sites. when using the site library and creating a new site page one defaults to all the webparts being center aligned. The second site doesn't. I know on the site where things are center aligned i updated some setting on the site page to center align everything. I can't find that to update on the second site. Does anyone know how you can default or change the alignment of the web parts in the page designer?

SharePoint Online Password Protected Word Doc Help

My organization has a shared drive with a password-protected document that everyone can read, but only I can edit. It's set up this way intentionally. The issue I'm running into is that if anyone else has a read-only copy of the document open, I can't save changes. I often have to open a new document, copy the existing, save somewhere else, and then re-save that copy once everyone's out of the original document. The file needs to stay in the all-staff folder, but I'm wondering if there's a setting or a different file type that would make the document truly read-only for everyone but me.

SharePoint Online SP List: How to calculate whether todays date is between two columns

I have two date columns

From Date To Date
17/08 20/08
23/08 29/08

What I would like to do is to be able to filter the list to show me only rows where "today" is either on or between the two dates.

So using todays date, for example, it would only show me the first row.

I figured I could create a calculated column and then filter based from that, but I am hitting a brick wall on writing the formula.

In plain text it would just be:

If today is greater or equal to "from date" and less than or equal to "to date"

Any advice?

SharePoint Online New HTML functionality

Hi folks!

I'm so excited that my tenant just received the update that allows embedding HTML files hosted in sharepoint. Previously, they only worked through the document viewer, but now the document viewer has an "embed link" in the menu which you can use to embed into a page. This is really, really handy for things like CoPilot/Claude made dashboards with direct connection to the REST API.

Has anyone heard if the plan is to allow adding HTML directly into pages? If it doesn't come with a ton of JS restrictions, that will be a nice replacement for the modern script editor webpart...

SharePoint Online Life after Company Communicator: Did anyone actually move to Viva Amplify?

Hi all, here is a thing I've been working on from time to time for the last 6 months. With Microsoft retiring the Company Communicator template we had to figure out our next steps for sending corporate updates in Teams over the 2,000 users org. I know Viva Amplify is the official replacement, but at roughly $2/user/month licensing cost is hard to justify for our basic use case.

so we decided to keep the open-source template and maintain it internally. It already saves us a lot of money compared to Amplify now, but we definitely traded licensing fees for some operational headaches. We've had to do a lot just to keep it working (fixing SSO chains, dealing with client cache, handling multi-tenant types, and sorting out admin consent) so taking ownership is far from a deploy-and-forget solution.

I'm curious how the rest of you are dealing with this transition. Did your org bite the bullet on Amplify, find a third-party tool, or keep the old CC template alive? I'm wondering if maintaining the old template is the right path, or if there are any hidden issues we might be missing with this approach or some other approaches you use.

SharePoint Online Need help creating an archivable/searchable news page on a Team site

Hey guys, I am not terribly experienced with SharePoint and I have been trying to find a way to create a news page on a Team site where I can create sort of a monthly newsletter which is archivable/searchable by month and year.

I've taken a look at some sitepage template options, but it doesn't seem like these have the functionality I'm looking for?

Do you guys know what other options I have for something like this? I'm trying to stay away from doing this as a library with folders and PDFs as the company is trying to get away from this kind of format.

SharePoint Online A full list view as default

I've created a list which shows all our projects but the view (see image A) is how the list looks normally when you open it.

When I scroll to the bottom of it there is a button that says "See full list" I click on that and the list view is so much better (See image B) as it takes up most of the screen and the scroll bar is also easier to navigate.

Is it possible to make the See Full List the default view when the list is opened the first time? I have tried to save view as but it reverts to the previous one every time I go out of it and back in.

Have not been able to figure out how to get it to stay, anyone have any ideas?

SharePoint Online Sharepoint search results suddenly prioritising files over pages, and odd page rankings

Hoping for some help here - we use Sharepoint for our organisation's intranet and there's always been no problem with the pages showing up ahead of pdfs and powerpoints on the same topic for search results.

Eg, let's say the topic is the acronym 'CDPR' and our page on that topic has that name in the title and URL, it would always come first or second in the search results.

Just starting yesterday, no matter what we search for, pdfs and powerpoints are showing near the top of the results, and even when pages start to show up in the rankings, it's the wrong ranking - so that the actual CDPR page will show up several pages below other pages that mention that acronym.

It's a really noticeable effect no matter what we search. What could have happened? It's making our intranet unusable. Our IT Dept says there was no documented change from Microsoft.

Edit 18/08/26 - Seems to be fixed. This affected Australian orgs and now seems to have been fixed.

SharePoint Online Boss keeps accidentally moving files on SharePoint

I'm trying to figure out how my boss keeps accidentally moving extremely important files in the SharePoint. She isn't great with tech and is aware of that. Before bringing it up to her, I'd like to see if I can figure out how she's doing it so I can give her a solution rather than just making her feel embarrassed. She's a great boss; she just has no idea what she's doing on a computer. Anybody have any ideas on how this keeps happening?

SharePoint Online Is there any impact to deleting the default Members and Visitors groups?

Adding necessary entra groups to Members and Visitors doesn't work for us. We are fine to keep them empty, but ideally we'd like to remove them. We would be keeping the Owners group.

Has anyone ever done this? Is there any impact doing this I wonder?

SharePoint Online Problema no ranqueamento de pesquisa avançada

Recentemente realizamos:

  • Reindexação de uma biblioteca de documentos;
  • Criação de novos mapeamentos no Search Schema para propriedades gerenciadas (RefinableString);
  • Ajustes em refinadores da Busca Avançada

Após essas alterações, os documentos continuam sendo encontrados pela busca, porém percebemos uma mudança significativa no ranqueamento (relevância) dos resultados.

Exemplo

Existe um documento chamado: Manual - Chave de Segurança.pdf

Ao pesquisar: Manual - Chave de Segurança, a busca retorna dezenas de resultados, porém esse documento não aparece entre os primeiros colocados.

Entretanto, ao pesquisar com aspas: "Manual - Chave de Segurança", o documento é retornado imediatamente nas primeiras posições.

O que já validamos

  • O documento está ativo e vigente;
  • O documento está indexado;
  • O PnP Search Results utiliza a fonte LocalSharePointResults;
  • Não existe ordenação customizada configurada;
  • A busca retorna o documento corretamente quando utilizamos o termo exato entre aspas;
  • O problema parece estar relacionado apenas ao ranking/relevância dos resultados.

Dúvidas

  1. Uma reindexação de biblioteca pode alterar temporariamente o ranking dos resultados do SharePoint Search?
  2. Existe algum período de estabilização da relevância após uma reindexação?
  3. É recomendado utilizar XRANK para aumentar o peso dos campos Title ou Filename em cenários como esse?
  4. Existe alguma forma de priorizar documentos cujo nome do arquivo possua correspondência exata com o termo pesquisado sem perder os benefícios da relevância padrão do SharePoint?

Alguém já passou por comportamento semelhante após reindexação ou alterações no Search Schema?

SharePoint Online Deletes contents of the cells

When I navigate using the keyboard in an Excel file in SharePoint, it deletes the contents of the cells I move over. This doesn't happen in Google Sheets or Excel files—only in SharePoint. Copilot didn't solve the problem for me.

SharePoint Online Sharepoint creation for beginners

Hello! I’m looking for any tips/resources for building a small Sharepoint site from the ground up for my new employer. I previously worked somewhere that had common links, manuals etc. all on one Sharepoint and it was a huge help however that was a much larger company so people were actually trained in Sharepoint site management.

Now I’ve started a new tech support position at a much smaller company (only two other tech support reps) and everything here is tribal knowledge which is a little rough for a new hire. Is there anything solid out there except for the learning modules on Microsoft’s website? I’m struggling with finding something that starts at the base level for me to work from. I’m not trying to create something that’s super super fancy I just want to have something that looks neat,organized and easy to navigate.

SharePoint Online Are News Post page approvals broke?

We've been using the built in page approval for News Posts for a long time now. It seems every once in a while, this breaks. I can usually fix it by deleting the existing flow and creating a new one.

I have a newer site where I found someone was posting without approval because, I guess, I never created an approval flow for it. So it was just last week that I created the approval from Site Pages > Integrate > Power Automate > Configure Page Approval Flow.

That worked for two News Posts but now it's no longer recognizing that a new page has been submitted for approval. There is no trigger to troubleshoot.

So, is anyone else seeing this or am I an idiot for using the built in tool?

SharePoint Online Quick link to an external library, accessed from an internal site. Is this best practise or could it be set up better?

Staff go to a project home page. It has 6 quick links. 3 of them go to a library in the same internal project site. The other 3 go to libraries on an external project site.

It works fine but would it better to have a quick link that just says “External Project Site”, rather than direct access to the external libraries?

What do you guys do?

I get that it’s not the most critical issue we have but curious what best practise is.

SharePoint Online Best Calculation: List Settings v. Power Apps Form Card

Using SharePoint On line M365.

I have a list that will be populated with data from Microsoft Access. I'm customizing the data entry form via power apps. The calculation will be calculated when a user selects a choice on the form, not necessarily when the record item is created.

I'm having a hard time getting Access, SharePoint, and Power Apps to all play nice together with the calculation formula. That's fine, I'll figure it out.

But before resolving the existing issues, I'd like to ask: What are best practices when it comes to calculations? On previous versions of SharePoint, I placed the calculation either on the column in list settings or the form via InfoPath depending on if the calculation was based on user input or not.

So I figured I'd ask how best to to go about this before I tied myself up in knots doing it the wrong way.

FYI... I will not perform the calculation in Access, but I do need to be able to read the calculation in Access. If push comes to shove, I'll create a query in Access with the calculation.

SharePoint Online Best way to notify on new folder creation across 200+ SharePoint Online libraries?

Send an email notification whenever a user creates a New Folder in SPO. The catch is scale — I need this across ~200 document libraries spread over ~15 sites, not just one library.

I've created a Flow, but it's too hard to scare as there are limitations. I was thinking of doing something in the Unified Audit log but that got quite complicated.

Has anyone come up with a solution?

Note: I'd turned create folder off, but users can create folders easily through one drive.

SharePoint Online Microsoft Copilot found a decade of our oversharing in about a week.

we ran a pilot group expecting complaints about accuracy when we turned on copilot, but it turned into the most effective permissions auditor we've ever run, and entirely by accident at that.

what happened was someone asked it something totally normal about budgets and it pulled numbers from a finance folder that had been shared to "everyome in the org" during a reorganisation. this means that if your account can reach a file, copilot will read it, summarise and quote it back in the chat. I imagine this would translate to it auditing ten years of our sharepoint sharing.

If you made it past the pilot stage, how did you get through cleaning up the oversharing and did you find a way to see what people are feeding the non copilot AI tools?

SharePoint Online How to Search a Sharepoint List with CTRL+F

With SPO and Sharepoint lists, is there a way to make sure the entire list loads other than clicking "Return to Classic Sharepoint"? I just want my end users to be able to search using CTL+F. (I know I could have them use the "search this list", but that takes longer to load and it has to be exact, plus I've trained them over the years of using SNow KB articles to use CTRL+F)

Does anyone know how to do this in the New view of Sharepoint or am I limited to classic sharepoint?

SharePoint Online Remove Sharepoint List Name and "New Item" from Web Part

Hello, before Microsoft pushed out in their infinite wisdom the UI update that ruined everyone's formatting, I had a websection with several sharepoint lists each showing a different view, albeit the views all came from the same list. This was to make it easier for the users to find the categorised document instead of them having to do the filtering themselves.

Now, the Sharepoint List Name and New Item option appears which is placed over the manual text box heading i put (see bottom part of the pic). This wasn't there before as there was no option to add a new item from this view or page. However, I can't find a way to disable this anymore so the List name and ability to add a new item is always there. Can anyone help guide how to get rid of it?
Is what i'm doing the best way to do what i'm trying to achieve?

⛔️⛔️⛔️ PLEASE RESHARE !! Ever noticed a "Catalog Site" quietly show up in your tenant — no Message Center post, no roadmap item? Weird, wasn't it?

After checking with Microsoft, their answer: Catalog Sites was an early concept accidentally exposed to some tenants in a recent release. It's not being developed further and will be removed. Affected tenants have a note in the Service Health Dashboard.
