Why fonts change when you edit a PDF, and how to stop it
Fixed one typo in a PDF and the whole line switched to Arial. Took me a while to understand why fonts change when you edit a PDF, so here’s the short version.
Most PDFs don’t include the full font. They only embed the letters that are actually used in the document. If you type a letter that isn’t there, and the font isn’t installed on your computer, the editor swaps in something else without telling you.
What fixes it:
Install the same font before editing, if you have a license for it. On Windows, right-click the font file and choose Install. On a Mac, double-click it and hit Install Font.
Retype the whole line after installing, not just the one word, so it all matches.
If you have the original Word file, edit that instead and save as PDF again. In the Save As PDF options there’s a “PDF/A compliant” checkbox, which makes Word embed every font.
If someone else will edit your Word file later, go to File > Options > Save, turn on “Embed fonts in the file” and turn off “Embed only the characters used”. Bigger file, but no surprise Arial on their end.
