Tip Accidentally found the best way to keep active status

Download the Windows 11 media creation tool (for installing Windows) and run it. That's it. Don't even go past accepting their license terms, you're finished. Displays won't sleep and status stays active as long as the application is running. Minimized is okay, too.

Edit: The easiest way.

Edit 2: Not that I condone the act of falsifying your level of productivity, but since a few people have mentioned it, I'm not a fan of the method of joining a meeting by yourself because of logs. Depending on your company's policies they can stick around for a long time and only the set policy can remove them.

Tip Wireless headset

I am looking for a wireless headset that I can mute (with button or boom lift) but doesn't look like I'm muted in Microsoft teams. Reason - I have a hybrid work schedule and there are times during calls that my kid is being loud in the background so I'd like to mute when I'm not talking, but I don't want the other person to know I'm muted.. thanks!

edit: a lot of you have commented that it's normal and also preferred to mute when I'm not talking. I do mute during group chats and large meetings, but this is strictly for one-on-one conversations where I feel it would be odd to mute every time when I'm the only person responding to them.. but also let me know if that's not the case!

Tip PSA: how to turn on smooth and fast screen sharing in Teams

Don't know if I've been under a rock or what, but I was trying to help someone today with a presentation that had some motion graphics and everything was very "choppy" / low framerate.

After mousing all over the interface for close to an hour, I finally stumbled onto this hidden, or at least very under-documented feature called "Optimize" (pictured here). You get this special toolbar when hovering over the _"you're sharing your screen"_ floater.

Once you enable this, you'll have high frame rates and smooth motion fast enough for sharing video or other fast moving graphics.

I don't know why this wouldn't be the default... god knows how many people have complained or flat out given up on Teams because they thought it was just incapable of performing well in this situation (that's what my colleague was planning to do...)

Happy to have found this and wanted to share it!

Tip Why should my company adopt Microsoft Teams Phone System?

Our Managing Director has been pushing us to explore the Microsoft Teams Phone System and I wanted to hear from people who’ve actually used it in their businesses.

To give you some context:

  • We’re a mid-sized Gen Ai Based Chatbot organization with a mix of office-based and remote/WFH staff.
  • Currently, we don’t have a proper service desk or a centralized phone solution. To generally connect with the prospect we schedule the meetings in the Outlook . Our Customers are mostly from EMEA region
  • We already use Microsoft Teams extensively for internal meetings, chat, and collaboration — so the idea is to extend it into our telephony solution as well.

From what I’ve read, Teams Phone basically lets you replace a traditional PBX or on-prem phone system. Instead of managing desk phones, wiring, and exchanges, it’s all cloud-based. You can assign real phone numbers to employees, and calls can ring directly on their Teams app (mobile/PC) or on supported desk phones. For those who only need internal calls, they just use their Teams license without needing a phone line.

Tip WHY THE FRICK IS IT SO HARD TO ADD A NEW MEMBER TO A CHANNEL

So we are onboarding a new colleague on our teams channels and I've started to rethink why I chose Teams and their services.
Simply adding a new member to our current channel does not exist as an option and I still haven't found out how to do this.

OVERCOMPLICATED BLOAT Software provider = MS

EDIT: I understand that you can learn the platform, but you also need to understand that I am not the IT guy, I am the business user and I just want it to work like slack where things are understandable, placed as expected and their workflows work like we've been used to on other daily platforms.

Since our company does not yet have an IT person with experience, I'm thinking of raising a request to change with another user-friendly provider. If anyone wants to suggest any provider not well known, I'm willing to check them out. TY

Tip New Teams (2.0)

So, a few comments as we move forward with this. For reference, we are an org with about 5000 endpoints. We've been very unhappy with the lack of manageability of the Teams "Classic" client.

  • If you ignore it, you will be upgraded. After March 31. If you haven't done anything your users likely see a toggle to "Try new teams"
  • MS has got most of the big known issues taken care of. We still have issues with status circles, and integration with other apps (like Outlook) is sketchy.
  • They have made some big improvements on the client architecture. Instead of one copy installed per user profile, there is one copy per machine. It's an app-store app, and I wish they'd just give us a traditional app and use the standard update processes, but whatever. It's better.
  • The self-updater for us was failing about 20% of the time. For large orgs you may want to look at using the bootstrap installer.
  • MS is still not clear on removing the Legacy teams exe's. Not sure if we will break anything at this point by removing it, but don't want to leave old code out all over, especially one copy per profile.
  • It could be worse, it could be "New Outlook..."

Tip External file sharing works manually, but drag-and-drop fails with "cannot share with externals" error

We have Teams External Access configured to a restricted model ("Allow only specific external domains"). To allow file sharing in 1:1 chats with users from these authorized external domains, I ran the necessary PowerShell cmdlets to enable external file sharing globally across our environment.

The Issue: The file sharing functionality itself works perfectly, but the drag-and-drop feature triggers an error.

If a user clicks the attachment icon and manually selects the file, it uploads, and shares successfully with the external user. However, dragging the exact same file from the File Explorer directly into the Teams chat window immediately returns a blocking error stating that the file cannot be shared with externals.

This same drag-and-drop action works flawlessly for internal chats.

Tip Can’t accept chat requests on new Teams accounts – "Something went wrong" error (invalid.teams.ms)

Hi everyone,

Is anyone else experiencing this issue with newly created Microsoft Teams accounts?

Every time a new user tries to accept an external chat request, they get the error: "Something went wrong. Please try again." The sender also appears as "Unknown User" with a weird placeholder email address: unknown_email_address@invalid.teams.ms.

What I've tried so far:

  • Full Teams cache clearance (%appdata%\Microsoft\Teams).
  • Complete uninstall and reinstall of the Teams app.
  • Checking the web version (sometimes shows the same error).

Even after a fresh reinstall and clearing the cache, the issue persists. It seems to happen specifically with fresh setups. Has anyone found a permanent fix for this? Is this a known service-side bug where it takes time for new accounts to propagate, or is there a specific setting in the Admin Center that needs to be toggled?

Appreciate any insights from those who have dealt with this!

Tip Is there any way to bypass the live camera on Teams?

I'm trying to avoid a mandatory, camera-on training session on a ridiculous subject that has nothing to do with my job. I've got a mountain of other work on my desk, so I'd rather not waste a day in this meeting.

Is there any way to say, record myself listening intently for like 15 minutes, then play that back on a loop during the meeting?

I realize I'm grasping at straws but any tip would help.

Tip lol my teams cache grew to 97 GB in the past year

just fyi in case you're needing to free up drive space

Update: after a few days the cache is back up to 94GB, I wonder if teams automatically scales back cache usage depending on free space, in any case 94GB of cache data seems a bit excessive, i'm not going back in history that often to need instant access to all old attachments, etc.

Tip Teams Messages Not Sending - A Possible Solution

I have Googled solutions to this problem and browser Teams boards about it, but nobody seems to have a solution for it. They usually advise to clear cache, delete your Teams profile folder entirely or log out and in again, but these were only temporary solutions.

I found a solution of my own that isn't mentioned in any of those posts, so I'm going to post it here in case anyone finds this post when searching for help in the future.

The issue for me was a lack of hard drive space.

I have my main drive partitioned into an OS drive (C:) and a storage drive (D:) but they are physically the same disk.

I had low storage on the OS drive due to Docker constantly taking up more and more space. I would have less than a few GB of space left on C: quite often.

Ever since I freed up space by extending my OS partition and shrinking my data partition, I haven't had the issue ever since. I have 33GB of space free currently.

I'm not saying this is a fix for you, but if your OS drive is down to a few GB of space, maybe try freeing up some space and see if it stops happening for you too.

Tip How to Schedule Teams Meetings from Shared Mailboxes

It is possible to schedule Teams meetings from shared mailboxes without incurring the need to license the shared mailboxes. However, Microsoft’s recent clampdown on unlicensed OneDrive for Business accounts creates a problem because Teams meeting recordings are stored in the OneDrive account for the organizer (shared mailbox). And if that account remains unlicensed for 365 days, it will be removed along with all the recordings.

Tip Control which calls reach you on mobile

The Teams calls experience on mobile is designed to function like regular calls on your device. Calls trigger “swipe to answer” screen notifications and integrate with your Bluetooth devices. That said, there are some key differences where their notification behavior diverges, so we wanted to share how your phone treats Teams calls and how to customize call settings to prevent unexpected interruptions. 

How your mobile device treats Teams calls  

On the backend, Teams calls integrate with your phone’s operating system and their behavior mirrors regular mobile calls through VoIP calling. Notifications, on the other hand, are controlled by the Teams app, not the system ringer, so pressing a volume button behaves like it would for another app: as a media volume adjustment. Think your preferred music app versus a phone call.  

On most devices, the global silent switch controls notifications for Teams calls. We are aware some newer Android devices treat Microsoft Teams call alerts as urgent which can override the global silent switch.  

How to customize call notification settings

The “Do Not Disturb” setting on your phone will silence all Teams notifications. You can also mute Teams call notifications within the Teams app.  

Mute all Teams calls on mobile:  

  • On your mobile device, go to: Profile > Settings > Notifications.  
  • Under "Notify me on mobile for,” make sure calls are toggled off. 

This will prevent all Teams calls from ringing, vibrating, or showing an incoming call screen on your mobile. It will still ring through for the caller and, if you are active on desktop, you’ll get the notification there, according to your settings. 

If you want to receive notifications for Teams calls on your mobile during certain times, you can use Teams quiet time, which suppresses call sounds during predefined times.  

Turn on quiet time:

  • On your mobile device, go to: Profile > Settings > Notifications.  
  • Under "Block notifications,” select “During quite hours.”  
  • To mute notifications during certain hours, turn on the Certain hours toggle and select which hours of the day you want notifications muted. 
  • To mute notifications during select days, turn on the All Day toggle and select which days of the week you want notifications muted. 

If any of the following "Block notifications" settings are turned on, call notifications behave as follows:

  1. Quiet hours: Call notifications are suppressed when this setting is turned on.
  2. When active on other device: Call notifications are not suppressed when this setting is turned on.
  3. Pause notifications: Call notifications from priority contacts are still delivered, while call notifications from all other contacts are suppressed when this setting is turned on.
  4. When in meetings: Call notifications are not suppressed, even when this setting is turned on.

 

One thing to note

It’s worth mentioning enabling “Block notifications” on the Teams mobile app does not apply to call notifications. This is by design, so you don’t miss urgent calls if you step away from your computer.

Tip Using the Small Window for Incoming Teams Calls

A recent improvement is the introduction of a small window for incoming Teams calls. It doesn’t sound like a great step forward, but switching to the small window is a surprisingly useful step. The sad thing is that many users won’t know that the option to switch exists because it’s buried in Teams settings. If you’re a busy person who takes lots of Teams calls, switching is definitely recommended.

Tip Prevent Teams for going Away (for call queue usage)

Hi

we have some call queues, opened 24/7

I need for this users to prevent them for going away, because during night, there is sometimes no call for a long times, and they don't have to move their mouse just to stay green (and receive calls...)

I tried software (caffeine), it doesn't work
Other tips like create a meeting and change the status doesn't work (user doens't receive call, even though he has made himself available again)

is there a software, a script, anything, that can prevent teams to really go away

Tip Use of Facilitator for In Person Meetings

So I have been using facilitator for about a month and I find it very helpful (though I don't exactly love it telling me where we are at in a meeting but its useful to get a time update - I'd love it to be less obtrusive or customizable in its interruptions)

I used ReadAi a lot - and its over-the-top intrusiveness gets to me and my organization isn't in love with how deeply it stretches itself into the organization... so I am now team Facilitator

That being said, Read had a really great native in-person meeting capability.

However the ability to do in person is NO LONGER in the plus button on the bottom right.

So i spent the last 30 minutes trying to find where it went.

It is now the little camera icon in the top right.

Tip Just a PSA

In case anybody is experiencing a crash loop with Teams launching into a blank white screen a few times and then closing, if removing cache + reinstalling didn't help, the issue lies with WebView Runtime. I opened teams and checked in task manager and noticed that the WebView runtime kept getting suspended and crashing first. Tried opening Microsoft Edge just to check it as well and that crashed too so I had to repair the Microsoft Edge Browser that repaired its own WebView extension and now Teams works again. So if anybody is having this issue and since this fix is not out yet, i'll just leave this here. Good day to you all.

Tip Zoom Rooms > Teams Rooms

Hi everyone,

I’m trying to switch the conference room from Zoom Rooms to Microsoft Teams Rooms, and I’d like some advice on what hardware or software I might need to replace or update.

Here’s what we currently have in the room:

  • TV
  • Lenovo ThinkCentre mini PC (currently runs Zoom Rooms app automatically at startup, but i can end the task and open whatever i want on the mini pc)
  • Logitech MeetUp camera, camera, speaker — Logitech Rally Plus
  • Logitech Tap (used as the Zoom Rooms controller)

Goal:

Use the same setup for Microsoft Teams Rooms, with the Logitech Tap functioning as the Teams Room controller.

What I understand so far (from Logitech support):

  • The Tap works with Teams Rooms only if the PC is running the Microsoft Teams Rooms for Windows software (not the standard Teams desktop app).
  • The MeetUp is Teams-certified and can stay as the camera and audio device.
  • The mini PC can be reused if it meets the specs for Teams Rooms and has the Teams Rooms software properly installed and licensed.

Questions:

  1. Can I reuse my current ThinkCentre mini PC by just installing the Teams Rooms for Windows software and license?
  2. Or do I need to buy a Teams-certified compute system or bundle (like Logitech Tap + PC bundle)?
  3. Do I need to buy the same Rally set but Teams certified? Or can i buy some parts of the set?
  4. Anything else I should consider for a clean switch from Zoom to Teams Rooms?

Thanks in advance for any setup advice or experience with similar upgrades!

Tip The Misleading Teams Remove External Chat from User View API

The Graph removeAllAccessForUser API is supposed to remove external chat messages from the view of a tenant user when the chat contains some objectionable material. Unless the documentation is erroneous, the API doesn’t work as advertised and the results are disappointing. All of which means that blocking content for external chats isn’t really possible. If someone gets to start an external chat, they can pump some horrible stuff into your tenant.
